SVH Specialty Clinic
SUMMARY
Under the direct supervision of the Clinic Manager, the person in the position of the Back Office Supervisor trains, schedules, and supervises Medical Assistants, performs various clerical functions, as well as patient status tasks. All of the duties and responsibilities of the Job Description for Medical Assistant also apply to this position.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Includes but not limited to the following:
Interviews and makes hiring recommendations for new Medical Assistants (MAs)
Oversees and/or conducts training for new and current MAs, arranges/maintains a training check list, including ongoing education and CPR/AED certifications.
Provides ongoing constructive feedback on employee job performance
Establishes and maintains a high level of employee morale, emphasize team-based approach, empowers teams/individuals to meet the highest level of function
Assigns, directs, and ensures task completion.
Trains staff to maintain concise documentation in patients’ electronic medical records
Knowledge of the case management process
Trains staff to follow evidence-based approaches to self-management support such as patient coaching and motivational interviewing
Responsible for all MAs, PTO requests/tracking and timesheet approvals.
Maintains documentation, counsels, and disciplines MA’s as necessary, with the supervision of the Clinic Manager.
Coordinate overall patient flow with Front Office Supervisor and Clinic Manager.
Monitor back office EMR in-baskets to ensure staff adherence.
Accepts phone calls of complaints relating to clinical situations and/or clinical staff. The Clinical Supervisor listens to the complaint, researches that which is primarily necessary to take care of the patient’s immediate medical need, interviews staff involved, and counsels as necessary
Orders clinical supplies and medications
Oversees the locking of the sample medicine cabinets and ensures all outgoing meds are logged
Tracks and matches packing slips with invoices for payment of medical supplies
Supports quality and efficiency improvement efforts
Develops personal education to be proactive in meeting the future needs of the practice
Demonstrates a positive attitude toward all patients, staff and providers
Maintains a high degree of knowledge of the policies and procedures of the practice
Must be able to learn, apply, and teach a variety of rules, regulations, policies, and procedures applicable to the ever-changing healthcare environment
Monitors and reports on the administrative and clinical components related to the demonstration of meaningful use
Provides IT assistance and EMR support
Participates in the build, design and ongoing support of the EMR systems and implementations
Organizes meetings and education activities for doctors and staff, as necessary
Ensures general cleanliness and neatness of the practice
Consults with clinic manager regarding any problems or concerns, and assist in implementing organizational changes
Maintains compliance with contracted insurance carriers through auditing of clinical records and on-site visits
Applies the principles of comprehensive, community-based, patient centered, developmentally appropriate, and culturally and linguistically appropriate care coordination
Responsible for cash handling and deposit reconciliation
Other duties as assigned.
EDUCATION and/or EXPERIENCE
MA Certification required. S/he should have at least six months supervisory experience, preferably twelve months, in a related setting (e.g., health care, customer service, etc.) and/or training, or equivalent combination of education and experience.
PREFERRED
Bilingual may be required at certain clinics or during certain shifts.
