Summary:

We are seeking a detail-oriented and highly organized Contract Administrator to join our growing team. This role is critical to the success of our landscape maintenance, construction, and snow removal operations, ensuring that all client, subcontractor, and vendor contracts are accurately prepared, tracked, and maintained. The ideal candidate will have a strong background in administrative support and the ability to thrive in a fast-paced, seasonal environment.

Key Responsibilities:

Prepare, review, and manage service agreements and construction contracts for landscape maintenance, installation, and snow removal projects.

Track contract milestones, renewal dates, insurance certificates, and compliance documentation.

Work closely with sales, project managers, and accounting to ensure contract terms align with pricing, scopes of work, and timelines.

Ensure all subcontractors meet insurance and licensing requirements prior to project mobilization.

Maintain organized and up-to-date digital and physical contract records.

Monitor contract performance and follow up on incomplete documentation or missing signatures.

Assist with bid preparation, proposals, and RFP responses as needed.

Provide administrative support for seasonal service agreements and renewals.

Support risk management efforts by ensuring all contracts include proper indemnification and liability clauses.

Handle contract close-out procedures and document retention compliance.

Qualifications:

2+ years of experience in contract administration, project coordination, or a related administrative role (preferably in construction, landscaping, or facilities services).

Familiarity with contract terms, insurance requirements, and legal terminology.

Exceptional attention to detail and organizational skills.

Ability to manage multiple deadlines and priorities with minimal supervision.

Strong communication and collaboration skills to work cross-functionally with internal teams and external stakeholders.

Proficiency in Microsoft Office Suite (Excel, Word, Outlook); experience with CRM or project management software is a plus.

Knowledge of Columbus-area contracting standards or municipal contracts is a bonus.

Working Conditions:

Primarily office-based.

Full-time position with standard office hours; may require occasional evenings or weekends.
