MEDICAL RECORDS COORDINATOR

We are currently looking for a highly organized and dependable Medical Records Coordinator to take ownership of the medical records collection process for company candidates. The right candidate will be resourceful, communicative, and comfortable with follow-up and administrative tasks.

CORE RESPONSIBILITIES
Send medical records release forms and ensure they are completed correctly and on time.
Distribute completed release forms to all relevant offices, hospitals, and clinics.
Consistently follow up via phone and email to request, confirm, and collect records from providers.
Track each request and follow up weekly until all medical records are received.
Accurately label each record by pregnancy year and record type (e.g., OB Care, IVF, Delivery).
Organize and maintain a digital filing system for easy access and reference.
Submit completed records for internal or external review once the set is received.
Support other low-level administrative tasks, depending on workload and availability.
QUALIFICATIONS & REQUIREMENTS
Strong attention to detail and organizational skills
Excellent written and verbal communication skills
Comfortable with phone follow-ups and maintaining professional relationships with medical offices
Experience with HIPAA-compliant handling of sensitive medical documents
Ability to manage time independently and meet deadlines without close supervision
Tech-savvy and confident in navigating digital tools and systems
Prior experience in a medical office, fertility clinic, or administrative support role
POSITION SCHEDULE DETAILS
Full-time remote position
Monday - Friday (40 hours/week)
