The Receptionist plays a large role in creating a first impression of the company via in-person and phone interactions with individuals, including prospective clients, employees, guests and vendors who walk through the door or call the location. We are seeking a passionate and driven professional to act as an ambassador and liaison between our client, employees and visitors who come to the site. Ideally this individual cares deeply about the level of interaction and the quality of the experience the recipient enjoys during their initial interactions at the site.
Greets and directs all visitors with enthusiasm, professionalism and courtesy. Provides very positive and professional first impression to visitors. Announces visitors to appropriate party promptly and politely. Directs guests and clients to the waiting area and provides snack or beverage experience when possible and appropriate. Establishes a strong rapport with clients, vendors and contractors. Adheres to company policies and procedures, following all safety and security protocols. Maintains records for visitor logs, records employee moves and manages visitor badging. Keeps reception area, reception desk and all related areas neat and orderly.

Facilities Operations
Greetings to visitors
Recognizing visitors’ types, including candidates, vendors, family and friends
Assisting visitors to contact their host
Ensuring visitors fill in necessary information including names, companies, contact numbers and EID of visitors and employees.
Issuing visitor badges/stickers and reminding employees to escort their visitors all the time in office building.
Recording visitors entrance, remind them leaving time and Ericsson Visitor Security and Safety Awareness.
Phone Call Management
Verifying the requests from caller, and transferring to appropriate receiver.
Recording telephone number so that the callback and responding to the caller with your answer.
If received any work order request, have a record and send to related department.
Badge Management Assistant
Distributing badge to new hired employees.
Verifying employee’s identity via Phone Tool, EID or ID card.
Handing out temporary badges for the employees who forget to bring badge.
Track and ensure the badge to be returned in time. Contact the borrower or his/her line manager to trace back the badge.
Business Card Management Assistant
Collecting Business Card Application Form, Ensuring the information in the form has been completed filled in.
Submitting application form to vendor and ordering for Business Card Template.
Passing the Biz Card Template to employee for confirmation.
Passing the confirmation and Biz Card Template to vendor for ordering.
Mail & Express management
Manage the reception area environment to ensure the private express to be received by staffs directly from couriers instead of being stayed at reception area.
Other reception service
Log record of parking lot application and handover to liner manager
Continuously take notice of the E-clock punctuality and adjust accordingly whenever necessary
Customer Service / Client Relationships:
Provide superior customer service
Ensure feedback from client sessions is recorded and actioned to the satisfaction of the end user.
Pro-actively manage Ericsson expectations to ensure that the service levels are maintained.
Reporting and Check:
Helpdesk request information reporting/checking with line manager
Provide data of monthly(MMR) / quarterly(QBR) report as required.
Assist in the budgeting process as required.
Active involvement in the monitoring and achieving the required Key Performance Indicators.
Training:
Actively participate in all planned training activities.
Enhance personal awareness including but limited to service mind, good attitude as well as EHS common sense, etc.
Leadership / Staff Management:
Actively support an environment that supports teamwork, co-operation & performance excellence within the onsite team
Any other assignment as support by onsite leadership.
