Job Overview:

We are seeking a reliable and detail-oriented Front Office Administrative Assistant to join our administrative team. This role is ideal for someone who enjoys working in a fast-paced, student-centered environment and is passionate about supporting educational operations. The Front Office Administrative Assistant will manage daily office duties, assist students and visitors, facilitate fingerprinting and virtual testing appointments, and provide general administrative support to ensure smooth day-to-day operations.

Key Responsibilities:

• Answer incoming calls and provide excellent customer service to current and prospective students.

• Facilitate fingerprinting appointments through Idemia Identogo and manage appointment schedules.

• Facilitate and monitor virtual and in-person testing appointments for vendors including PearsonVue, Kryterion, Meazure Learning, and NHA.

• Support student needs including registration assistance, paperwork completion, and recordkeeping in accordance with state and national authorization requirements.

• Maintain accurate administrative records and files related to courses, exams, and student compliance.

• Coordinate with instructional staff to ensure smooth scheduling and communication.

• Assist in managing classroom and testing supplies and ensure readiness for classes and testing sessions.

• Uphold the organization’s high standards of professionalism, compliance, and student support.

Qualifications:

• Strong communication, customer service, and interpersonal skills.

• Highly organized and detail-oriented with the ability to multitask.

• Comfortable learning and using online platforms such as scheduling software, CRM systems, and testing portals.

• Previous office, administrative, or customer service experience preferred.

• Ability to work independently and as part of a team.

• Familiarity with healthcare education or certification programs is a plus but not required.

• High school diploma or equivalent required; college coursework is a plus.

Schedule:

• Full-time position: Monday through Friday, 8:00 AM – 3:30 PM.

• Occasional weekend availability required to support course or testing schedules.

Compensation:

$12.00 - $18.00 per hour
