As Project Secretary, you will be responsible to provide secretarial and administrative support to Project FEED SURF and GEP.

To succeed in this role, you should have knowledge of the project assistant daily activities and have minimum knowledge in Oil and Gas industry (Technical, General and Commercial Stuff).

What you’ll do

We are looking for Project Secretary to join our team in Jakarta, Indonesia.

The role responsibilities include:

· Provide secretarial and administrative support to Project FEED SURF and GEP as a whole. The individual will assist with the organizing of travel, team building and project event, including preparing letters, faxes, reports, etc, maintaining the department’s files in an orderly manner, ordering stationery, arranging appointments, etc.;

· Maintain up-to-date records on staff;

· Support to Monitor staff timesheet commitment and send them to People (HR) group – as necessary;

· Assist in processing of project invoice checking sheets/expense claims/advances

· Arrange meeting room and schedule for all meetings required within the project office

· Support to arrange and coordinate logistics for all workshops/meetings of the Project. Prepare & record meeting attendance list if applicable.

· Help to screen telephone calls, enquiries, and documents for approval for Project managers then distribute it as necessary

· Provide interpretation and translation of documents, as requested upon

· Prepare drafts of Project letters, Faxes, e-mails, and other communication project document/records

· Support other staff in filing

· Implementing other assignments as required by the Project Manager.

What you’ll have

· A minimum of 3 years of experience with oil and gas project experience

· Minimum 1 project experience as Project Assistant, secretary, admin, desirable experience for offshore development

· Have knowledge of the typical project assistant’s daily activities and have minimum knowledge in Oil and Gas industry (Technical, General and Commercial Stuff)

· Experience handling and managing large volumes of documents

· Strong computer skills (Word, Excel, PowerPoint, desirable familiar with Microsoft Project)

· A good command of English both verbal and written

· Have ability to organize own work and meet strict deadline

· Ability to work in team environment
