This is a full-time administrative staff position at the High Point University Workman School of Dental (WSDM). This person will assist in the design, coordination and implementation of learner acceptance, engagement and support matriculation for the WSDM DMD program. This role will assist the WSDM Assistant Dean for Student and Professional Success and the WSDM Director of Admission and Engagement in the matriculation, support, learner engagement and activities throughout their dental school journey, including being a role model for the mission, vision and values of the WSDM. This position is designed to serve and support the learners while developing and maintaining a supportive relationship throughout their time of enrollment and as they transition to becoming alumni and beyond. This role will be responsible for conducting qualitative and quantitative analysis of learner data, developing and delivering reports and presentations regarding the needs, engagement and supports learners in the WSDM. The individual in this role is also responsible for supporting the matriculated learners in their transition and initial growth and adjustment to the dental school environment.

Candidates must successfully pass a background check that is satisfactory to the University. This person will report to the Assistant Dean for Student and Professional Success.

QUALIFICATIONS:

It is strongly preferred that the candidate have relevant experience in general education, communication or student services and higher education programming. Strong preference will be given to candidate with advanced training/degrees (e.g., MA, MEd, MS) and experience in health professions education settings. The successful candidate is expected to possess exceptional people, communication, writing and leadership skills which play an important role in the development and maintaining of strong professional relationships with the faculty, staff, students, residents, and collaborators across the University and national organizations.

Additional knowledge, skills, and abilities preferred for this role include:

Knowledge of best practices in student services or student affairs and health professions education.

Training and experience working with clients, patients, educators, professionals and learners.

Ability to maintain privacy and confidentiality with sensitive and protected learner information and documentation.

Demonstrated ability to establish relationships and collaborate collegially and effectively with varied learners, faculty, staff and administers.

Use of creative/design thinking/user experience strategies to develop innovative and unique encounters dental clubs and organizations and early education groups.

Advanced problem-solving and analytical skills to address challenges in a start-up environment.

Ability to quickly build connections with team members, campus and community partners, external stakeholders and organizations.

Proficiency with word processing, presentation software and data management systems (e.g., Microsoft Office Suite, Zoom, WebEx, Teams, Qualtrics, etc.)

Ability to meet deadlines, organize and manage work efficiently and solve problems independently and effectively.

Ability to provide summary reports of learner activities, support, engagement and activities to include, budget breakdown, efficiency proposals, feedback analysis, improvement recommendations and experiential impact for retention purposes.

Awareness of individual and team needs to thrive in a start-up education model.

ESSENTIAL FUNCTIONS:

The candidate selected for this position will perform all duties directed by the Assistant Dean for Student and Professional Success in consultation with the ELT. The candidate will be expected to perform the following duties, including but not limited to:

Communication with WSDM and OHN

Develop and maintain personal contacts with HPU campus partners and serve as a liaison between learners and WSDM.

Provide general feedback to learners as directed and serve as resource for faculty and staff in learner-related matters, policies, procedures and activities.

Generate novel ideas for communication opportunities for matriculation program events and experiences including some internal social media platforms as needed.

Oversees the maintenance of some student records (e.g. compliance records, immunization records, policy requests, etc.)

Maintains and updates the Learner Handbook on a yearly basis and develops class composites and maintains multiple student rosters.

Reviews learner appropriate policies annually and directs updates to appropriate team for revisions; posting such policies in appropriate share drive.

Maintains confidential and private files for learners within the aspects of their dental education as needed.

Dental Learner Support and Learner Retention

Support the WSDM dental matriculation and retention process and actively collaborates with university offices to manage learner travel budget, logistics, requests and timelines for learners attending professional meetings.

Coordinate efforts with the WSDM Assistant Dean for Student and Professional Success and the WSDM Director of Admission and Engagement for cultural building and retention efforts aimed at student support initiatives.

Maintains a strong supportive relationship with admitted students from matriculation to becoming alumni.

In collaboration with the Assistant Dean for Learner Success, oversees functions of student organizations and WSDM learner governance.

Collaborates with the Events and Experiences Manager and the Executive Leadership Team on learner events and engagement activities.

Maintains a calendar/schedule of learner activities and documents, including volunteer engagements for learners throughout their dental educational journey.

Serve as an elected or appointed representative on HPU and/or WSDM committees as appropriate.

Represent the University and the WSDM at appropriate activities, events, meetings, committees and conferences.

Serves as a resource and advocate for learners.

ACCOUNTABILITY:

This position will report to the Assistant Dean for Student and Professional Success with input from Executive Leadership Team members.

Evaluation: Ongoing performance reviews are conducted along with an annual assessment by the Assistant Dean for Student and Professional Success, with input from the Director of Admission and Engagement and input from the faculty, personnel, and learners.
