The Alaka'ina Foundation Family of Companies (FOCs) is looking for a qualified Proposal Coordinator to support our Corporate Office in Orlando, Florida.
This exciting opportunity is full time and located in our Orlando, Florida office. In this role, you will be required to act in a dynamic proposal development role responsible for critical/key support to the Business Development team for all proposal efforts, by providing skilled support and efforts for the corporate proposal development, review, and delivery process which includes supporting Ke`aki and the Alaka`ina Foundation Family of Companies.
DESCRIPTION OF RESPONSIBILITIES:
Support Role to the Business Development Team supporting the Proposal Management and Development Process: As assigned, this position will be in a support role and at other times in a lead role when performing the following activities:
Preparation of Request for Proposal (RFP) summaries
Prepare materials for and supports proposal kickoffs
Assist in development of proposal schedules and proposal schedule coordination
Collaborate with proposal team to develop proposal response format, structure, and outlines
Participates in and/or facilitates proposal writing strategy meetings
Collect, edit, and prepare RFP questions for submission to customer
Facilitates color team reviews. Document preparation both pre and post review
Develop compliance matrices for RFP responses
Document formatting to include working with headers, footers, table of contents, styles, page numbering, section settings/breaks, etc
Prepare and distribute data calls to teaming partners
Facilitates graphics requests, development, and updates with the Graphics team
Proposal editing, formatting, compliance checks, final proposal assembly and delivery
Works closely with other functional areas to include Contracts, Operations/Program Management, as well as Finance and HR.
Participate in various process improvement projects for the BD department
Maintain oversight and configuration control of proposal documents, templates, and artifacts
Tracks final submission of proposals and ensures final submission files are archived properly.

REQUIRED DEGREE/EDUCATION/CERTIFICATION:
Bachelor's Degree strongly preferred
REQUIRED SKILLS AND EXPERIENCE:
Minimum of two to four (2-4) years of professional work experience -
Experience with a defense contractor and in the proposal and/or BD area is preferred
Experience in communications, business or technical writing, process management is preferred
Positive attitude with a desire to work as a team to achieve department goals is a must and is instrumental to success
Desire to learn new skills, competencies, and abilities is a must and is instrumental to success
Strong organization skills and attention to detail are a must.
Ability to multi-task
Possess strong presentation and communication skills
Possess excellent interpersonal skills
Advanced knowledge and use of Microsoft Word is a must. Necessary skills include working with headers, footers, table of contents, styles/style guides, page numbering, section settings/breaks, captions, track changes, tabs, bullets and numbering, etc
Excellent personal computer skills and proficiency in Microsoft Office applications to include: Excel, PowerPoint, SharePoint or other document management system/version control system
Ability to conduct research and generate original content
Ability to be flexible and adaptable, and exhibit excellent attention to detail
Ability to work with people at all levels of the Company
Ability to support fast pace and changing schedules
Ability to work under pressure with competing deadlines
DESIRED SKILLS AND EXPERIENCE:
Understanding of the government proposal process preferred
Previous Shipley training or experience with the Shipleys process, is a plus
Desire for growth and ability to lead small projects
Basic experience with visual software tools for graphics and/or org charts such as Photoshop, Illustrator, and/or Visio is a plus.
