Job Responsibilities

Performs administrative support and clerical duties support services activities for Workforce Development and Continuing Education to ensure timely and efficient workflows. Supports established/developing programs, and coordinators/director, in recruitment, registration, compliance, and accounts management to promote divisional profitability and excellent customer service.

Performs standard clerical, administrative, and para-professional duties following established methods and procedures including filing, typing, answering phone calls, emails, and supplies management.

Provides information to callers, internal and external stakeholders, visitors, and students. Responds to office, department, and student emails/calls/messages or forwards to appropriate staff/instructor/etc. Consistently demonstrates excellent customer service.

Verifies and maintains student data, course data/records, and departmental records, assists students, coordinators, and caseworkers with registration processes.

Creates, receives, reviews, and processes vouchers, invoices, purchase orders, and requisitions.

Edits and/or proofreads and distributes promotional and informational material such as brochures, pamphlets, flyers, website content, and reports.

Other duties as assigned by the Director. Minimum and Additional Requirements

A high school diploma or related clerical experience may be substituted for diploma.

Preferred Qualifications

Associate's Degree and/or 1+ years of work experience that is directly related to business administration, accounting, education, or another related field.

Knowledge of standard office practices and procedures.

Knowledge of the policies, laws and procedures for the utilization, processing, maintenance, and storage of student and departmental records.

Knowledge of laws, regulations and policies relevant to technical colleges or workforce training.

Knowledge of common Microsoft Office Software.

Knowledge of grammatical rules and ability to communicate effectively in writing.

Ability to follow written and oral instructions.

Ability to exercise discretion in interpreting and applying office practices and procedures.

Ability to proofread written materials.

Additional Comments

Valid Driver's license required. Occasional overnight travel, in-state, and regional travel. Must be able to move up to 30 pounds. Must be able to work indoors and outdoors in all common working conditions (A/C, heat, etc.).
