Job Description
We are seeking a highly organized and detail-oriented Scheduling Supervisor to manage and oversee the daily scheduling of field staff, ensuring optimal resource allocation across shifts. This role is critical in maintaining operational efficiency while supporting the team’s ability to respond to both routine and emergency situations. Additionally, this individual may assist with administrative tasks and support senior staff when needed.
Primary Responsibilities
Staff Scheduling
Create, review, and modify daily schedules for EMS field staff, ensuring proper staffing levels across all shifts. Address coverage issues caused by sick leave, injuries, or other absences, and reassign personnel as needed.
Resource Management
Analyze staffing trends and provide recommendations for resource distribution to meet business demands. Coordinate with the Operations Director to address overtime needs or late relief situations.
Emergency Staffing
Manage the callback process for emergency staffing during mass casualties, extreme weather events, or other emergencies. Plan and project staff requirements for these situations.
Coordination & Communication
Ensure that all on-duty staff are updated on schedule changes, including overtime assignments and relief updates. Communicate regularly with staff and management to ensure smooth operations.
Administrative Support
Assist with various clerical and administrative functions, such as preparing reports on staffing levels, overtime expenditures, on-call lists, and standby requests. Coordinate meeting room schedules and manage office supplies.
Timekeeping & Payroll
Review and verify time clock entries to ensure accuracy for payroll processing.
Training & Employee Status
Monitor the status of employees, including training progress, new hire onboarding, and reassignment needs. Ensure that new employees are properly cleared and ready to work.
Documentation & Compliance
Ensure EMS documentation meets company standards and CMS guidelines by reviewing charts. Follow up with staff to correct incomplete or inaccurate reports and report any trends to senior management.
Qualifications
Minimum of two years of college or equivalent experience
Proficiency in Microsoft Office and strong computer skills
Excellent multitasking, time management, and organizational skills
Strong communication and problem-solving abilities
EMT or paramedic certification preferred but not required
Experience with mathematical calculations and scheduling
Ability to manage complex situations efficiently and calmly
