As the Senior Specialist of Tradeshows & Events you play a crucial role in the sales operations; you handle all aspects of customer visits, sales meetings, broker meetings, and trade show execution. This role is responsible to execute event planning, logistics, vendor relations, and ensuring seamless experience for customers, sales team, and partners. The ideal candidate will have excellent project management skills, attention to detail, and the ability to multitask in a fast-paced environment.

Success Factors (12-18 months)

Tradeshow Guru: You worked hand in hand with the sales and marketing teams to bring our clientâ s strategy to life for each event by managing all the logistics from start to finish. From booth selection and setup to reservations and product and supply orders, your attention to detail ensured each event was executed to the highest quality. You also provided warm and thoughtful hospitality to every guest who visited the booth by creating a welcoming and professional environment that reflected the brand values. To keep everything on track, you created and distributed detailed checklists, covering crucial event needs. After each event, you used lead generation data to analyze performance and reviewed all expenses to ensure the brand stayed within budget. With a continuous improvement mindset, you consistently sought feedback from your partners in Sales and Marketing to refine processes and enhance future event success.

Meetings Maven: You planned and coordinated off-site sales and broker meetings or promotional events, including venue selection, site checks, and logistical coordination. You managed hotel bookings, meal arrangements, meeting setup and breakdown, and the procurement of necessary supplies to ensure smooth event operations. Additionally, you handled all logistics of customer visits to the Flavor Factory, arranging accommodations, air travel, meals, parking, and parting gifts to create a memorable experience. To further enhance customer engagement, you also coordinated history and plant tours, providing visitors with valuable insights into the companyâ s operations and heritage.

Vendor & Partner Relations: You negotiated contracts with a range of vendors to secure cost-effective solutions while maintaining the highest standards of quality, brand integrity, and overall tradeshow effectiveness. You collaborated closely with vendors for promotional items, coordinated with contractors for booth setup and logistics, and partnered with caterers to provide quality hospitality for booth guests and team members. By building and nurturing strong vendor relationships, you ensured we received exceptional service, premium materials, and the best possible pricing.

Swag Champion: You ordered and tracked the inventory of sales promotional items for trade shows and for the sales team, ensuring availability for all events. In collaboration with the sales team, you fulfilled requests for external organizations and coordinated distribution. Additionally, you monitored the inventory of all supplies needed for tradeshows, ensuring all materials are stocked and ready for upcoming events.

Qualifications & Skills:

3+ years of experience in trade show coordination, sales support, or event management.

Ability to travel as needed (up to 50%) to attend trade shows and customer events, year-round.

Strong project management and organizational skills, including budget responsibilities.

Excellent communication, negotiation, and problem-solving skills.Experience in vendor negotiations and contract management.

Proficiency in event logistics, travel coordination, and meeting planning.

Knowledge of CRM systems and lead tracking tools (Salesforce preferred).

Salary Range: $97,917 - $108,797
