Job Title: Central Office Secretary/Technology
Reports To: Director of Technology
FLSA Status: Non-Exempt / 12 month position
SUMMARY Performs secretarial duties for central office administrators to provide for the effective and efficient management in the assigned area by performing the following duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES may include the following. Other duties may be assigned.
Composes, or transcribes from rough draft, correspondence, bulletins, memorandums, and other material.
Performs general office duties of copying, word processing, management of telephone calls, taking/delivering messages, creating databases, filing, and other management activities.
Answers telephone to provide information, take messages, or transfer calls.
Manages and prepares reimbursements for special grants.
Prepares purchase orders and requisitions, enters invoices for payment, and compiles reports.
Requests bids and/or researches pricing in accordance with the purchasing procedures set forth by Louisa County School Board policy/regulations.
Coordinates special projects and publications for the assigned supervisor.
Assists in the development of computer presentations.
Maintains calendar/schedule for immediate supervisor.
Maintains calendar for deadlines, deliveries and meetings.
Schedules appointments and interviews, upon request.
Communicates with various school departments, employees and vendors via telephone and email, as needed.
Maintains inventories.
Places orders for office supplies, equipment, etc. QUALIFICATIONSTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Thorough knowledge of modern office practices and procedures.
Ability to prepare correspondence, narrative and statistical reports, forms, surveys, etc., using prescribed formats and conforming to all rules of punctuation, grammar, diction, and style.
Ability to organize multiple tasks and develop procedures.
Ability to use word processing, spreadsheet, and database software.
Knowledge of Munis Financial Software preferred.
Knowledge of Federal, State and Local procurement procedures preferred.
EDUCATION and/or EXPERIENCE
Any combination of education and experience equivalent to graduation from high school required. Secretarial/clerical and accounting experience preferred.
