Job Summary

The Controller oversees all accounting operations, ensuring compliance with regulatory standards and aligning fiscal strategies with the organization’s mission. This role combines financial stewardship, and operational leadership to support Joya’s goals.

Duties and Responsibilities:

Accounting Operations & Oversight

Oversee all day-to-day accounting functions, including general ledger, accounts payable, accounts receivable, payroll, and bank reconciliations.

Ensure accurate and timely monthly, quarterly, and year-end financial reporting and close processes.

Maintain and reconcile fund accounting records, ensuring accurate classification and tracking of funds per grant and donor restrictions.

Financial Reporting & Compliance

Prepare internal financial statements, grant-specific reports, and supporting schedules for leadership and board review.

Assist in preparing financial documents for the annual audits and 990 filings, working closely with external auditors.

Ensure compliance with GAAP, federal grant regulations (e.g., 2 CFR Part 200), and organizational policies.

Monitor and support compliance with funding requirements, including allowable costs and documentation standards.

Policy, Controls & Risk Management

Review, develop, and implement accounting policies, procedures, and internal controls to strengthen financial integrity and minimize risk.

Periodically assess financial processes for efficiency and accuracy, recommending and leading improvements as needed.

Maintain documentation of accounting workflows and ensure adherence to internal controls.

Grant & Fund Management

Track grant expenditures and revenue recognition according to funder requirements and organizational budgets.

Work with program staff to ensure timely and accurate grant reporting and reimbursement submissions.

Coordinate with development and program teams to monitor funding usage and reporting deadlines.

Systems & Tools

Maintain accounting systems (e.g., NetSuite) to ensure data accuracy and system integrity.

Partner with consultants on system enhancements, reporting templates, and automation opportunities.

Ensure appropriate access controls and user permissions within financial systems.

Collaboration & Support

Collaborate with the Director of Business & Accounting on strategic financial planning and analysis.

Support department heads with budget monitoring and training on financial procedures as needed.

Supervisory Responsibility:

Manage accounting staff and foster cross-departmental collaboration.

Approve weekly timecards prior to the payroll process; assist in tracking down any missing time or miscoded time.

Authorize leave requests according to policy and ensure accurate coverage for the program.

Complete employee performance reviews for each team member this position leads; this includes documenting performance.

Knowledge of Oracle NetSuite preferred.

Understanding of State and Federal grant requirements required.

Knowledge of HIPAA and FERPA requirements/regulations.

Excellent organizational skills and attention to detail.

Proficient in Microsoft Office Suite, specifically Excel.

Education, Certifications and Experience Requirements:

Bachelor’s degree in accounting, finance, or related field; CPA or CMA Preferred.

5+ years in nonprofit accounting, including grant management and audit coordination.

Deep understanding of GAAP, IRS 990, and nonprofit compliance standards.

Experience with fund accounting and donor-restricted funds.

Physical and Environmental Factors:

Ability to lift or carry up to 40 pounds regularly.

Ability to navigate client sites (unpaved walkways, stairs, narrow hallways, etc.) regularly.

Ability to bend, twist, stoop on a regular basis.
