Legal Secretary – Litigation (3–5 Years Experience)

Location: Northern New Jersey (In-office position)

Practice Areas: Personal Injury, NJ Civil Litigation, Landlord/Tenant matters / Special Civil

We are a small but busy law firm seeking an experienced Legal Secretary to join our team. The ideal candidate will have at least 3–5 years of legal experience working in New Jersey and be familiar with handling NJ litigation matter such as personal injury, workers compensation, special civil cases, and landlord-tenant matters.

Responsibilities:

• Draft, edit, and file pleadings, motions, certifications, and correspondence in NJ courts (including eCourts and JEDS systems)

• Prepare discovery demands, responses, and document productions

• Calendar court dates, filing deadlines, and ensure timely follow-ups

• Communicate with clients, courts, adversaries, and insurance adjusters

• Maintain case files (both electronic and paper)

• Assist with trial preparation, including compiling exhibits and coordinating witness availability

• General administrative support including answering phones, scheduling, and handling incoming/outgoing mail

Requirements:

• 3–5+ years of legal secretary experience in a New Jersey law firm

• Solid understanding of New Jersey litigation procedures (Such as NJ Superior Court, Special Civil Part/ Landlord-Tenant Court)

• Familiarity with electronic filing systems (eCourts, JEDS)

• Strong organizational skills and attention to detail

• Proficiency in Microsoft Word, Excell, and PDF editing software

• Ability to handle multiple tasks in a fast-paced environment

• Professional and courteous communication skills

• Self-motivated with the ability to work independently and as part of a team

Preferred but Not Required:

• Experience with billing and time entry software

• Spanish language skills a plus
