Job Summary

The Project Manager at VLS plans, organizes, and oversees all project aspects to ensure timely completion within budget and specifications. This role involves effective resource management, stakeholder communication, technical support, and risk mitigation throughout the project lifecycle.

Essential Functions

Processes project orders by entering jobs into the accounting system, creating purchase orders, and coordinating with the finance team to ensure timely and accurate inventory control and billing.

Coordinates submittal drawing processes: order, receive, and compile vendor submittals; collaborate with the internal drafter to create VLS drawings as needed.

Provides technical guidance to electrical contractors, distributors, and customers to ensure correct product installation.

Schedules and monitors material deliveries to customers.

Maintains project tracking, forecasting, and accurate contact information throughout the project.

Attends job-site meetings; provide field-verified measurements, photos, and condition reports as necessary

Participates in weekly project department and sales meetings.

Reviews contract documents and project specifications.

Coordinates with rigging equipment and other trades on project sites.

Closes out projects by confirming all billings, processing customer payments, and creating operation and maintenance manuals, as-built drawings, and warranty letters.

Maintains positive relationships with the sales team, contractors, partners, representatives, specifiers, and other project stakeholders.

Provides timely project updates to all stakeholders.

Other Functions

Coordinate and potentially participate in on-site professional services for hanging and focusing lighting fixtures, rigging installation, commissioning, and other project startup services.

Perform other duties as assigned.

Qualifications and Education

Degree in technical theatre, project management, construction management, or a related field, or equivalent experience in a related industry.

PMP certification is highly desired but not required at the time of hire; candidates without PMP certification are expected to obtain it during employment.

Experience with theatrical power systems, controls, and fixtures.

Experience with AutoCAD and photometric rendering software is desired.

Experience with project management software such as Trello, Asana, or equivalent, and QuickBooks is desired.

Excellent written and verbal communication skills.

Strong organizational skills; prompt and accurate in submitting orders, purchase orders, invoices, and monthly expense reports.

Ability to pass a background check for site visits at schools, universities, and government facilities.

Ability to pass a 5-panel drug screen.

Physical Demand/Work Environment

The Project Manager role primarily involves office-based work, supplemented by regular visits to project sites. In the office, work is performed in a professional setting with a moderate noise level from computers, phones, and conversations. Tasks typically involve extended periods of sitting at a desk and using a computer, with occasional standing, walking, and moving around the office. The role may require lifting, carrying, or moving inventory items weighing up to 50 pounds. Regular communication with team members, clients, and vendors occurs through email, phone, Teams, and in-person meetings.

Project site visits are a critical component of the role, with at least one visit required for each project and larger projects necessitating multiple site visits. These visits may include overnight or multi-night stays out of town. Project sites are typically considered construction areas and require adherence to safety standards, including the use of appropriate personal protective equipment (PPE) and OSHA10 certification. On-site tasks may involve working at heights, such as on grids, catwalks, and scaffolding, to access areas under construction.
