Job Title: Agricultural Education Administrative Assistant
Location: Regional School District No.7 Agricultural Education Program
Employment Type: 12-month position - Full Time

Job Overview: We are seeking a highly organized and detail-oriented Agricultural Education Administrative Assistant to support the smooth operation of our Agricultural Education Program. This position involves managing budgets, State reporting, coordinating events, assisting with student activities, and providing all administrative support to ensure the success of the program.
Key Responsibilities
Budget Management: Prepare annual budgets, manage accounts, create purchase orders, reconcile accounts, and maintain financial reports for the Ag Ed Department.
State & National Compliance: Compile and submit mandated reports, coordinate performance compliance reviews, and manage surveys critical to program funding.
Grants & Equipment: Develop equipment specifications, write bid documents, manage inventories, and support Perkins Grant activities.
Event Coordination: Plan and promote departmental events such as recruitment presentations, FFA ceremonies, and all fundraisers. Prepare materials, schedules, and coordinate logistics.
Student & Staff Support: Assist in maintenance of student records, assist with instructional materials, resolve technical issues, and provide safe spaces for students.
Community Engagement: Work with alumni groups, parents, and the consulting committee to organize meetings, events, fundraisers, scholarships, mailings, minutes, agendas and other support activities.
Administrative Duties: Screen visitors, manage office routines, coordinate field trips, travel arrangements, process mail, and maintain departmental communications, answer phones, and provide all administrative support to the Ag Ed Department.
Promotions & Marketing: Advertise fundraising efforts, develop promotional materials, and support marketing initiatives for departmental activities.
Other Duties as may be assigned.
Qualifications
An associate's degree and/or two years of experience as an administrative assistant.
Agricultural Education background is a plus.
Proven experience as an administrative assistant or in educational support roles.
Strong organizational and time-management skills.
Proficiency in accounting and database software (e.g., Budget Sense IVEE, Microsoft Office Suite applications, Google Docs, Quicken, Excel).
Ability to multitask and handle multiple deadlines at one time
Excellent interpersonal and communication skills.
Familiarity with agricultural education and/or FFA programs is a plus.
PowerSchool experience is a plus.
Excellent verbal and written communication skills.
Ability to maintain a high level of confidentiality.
Ability to work collaboratively and cohesively with administration, staff, and members of the public.
Ability to work and problem-solve independently.
Possess a calm demeanor when dealing with delicate and crisis situations.
