Purchasing Assistant
Position Summary
The Purchasing Assistant (PA) supports the Purchasing Project Managers and Operations team. The primary responsibility of the PA is to manage the contracting process, which involves drafting contracts, correspondence with subcontractors, delivery and tracking of electronic and hardcopy documents, filing, and various other administrative tasks. The PA plays a key role with the Purchasing team and the level of responsibility for this position will grow substantially based on the capability and experience of the individual. A successful tenure in the role over a few years will lead to a Junior Project Manager position.
Essential Duties and Responsibilities (but not limited to):
Work closely with PPM to generate legal contract documents (Master Agreements, Work Authorizations and Amendments) and track through the DocuSign process through completion as well as all filing.
Generate Sub List for Field Personnel.
Create and maintain all community purchasing files.
Work with our accounting team to properly onboard new subcontractors.
May be required to upload plans into BOX and PlanGrid software.
Assist in the resolution of contract, PO and invoice discrepancies.
Generate Purchase Orders, Check Requests and Back Charges and properly log and distribute.
Coordinate and maintain subcontractor insurance to ensure proper and current coverage for all communities.
Perform related clerical duties as required including filing, answering phones, accepting deliveries, mail, etc.
Requirements
Associate or Bachelor Degree a plus.
Two to three years’ experience in an administrative assistant position, preferably in the homebuilding industry.
Strong computer skills, including Microsoft Office Suite: Word, Excel, PowerPoint and Outlook, database and internet. Plan Grid and BOX experience a plus.
Exceptional written and verbal communication skills, work well with others at all levels.
Excellent organizational, problem solving and time management skills for a busy position.
Must be self-motivated, detail oriented, have a professional demeanor, and a passionate drive to learn and improve.
Must have ability to work in a team environment, be able to prioritize tasks and meet deadlines, strong people skills, excellent attendance and work quality.
Operate with integrity on all levels.
Working Conditions:
Onsite position.
May be required to travel to jobsites, hardware stores or vendors.
Must have physical stamina to walk through a construction site and houses under construction.
