Work Schedule:

7:30 am – 5:00 pm Monday – Thursday

7:30 am – 12:30 pm Friday

We are currently seeking a proactive, organized, and detail-oriented Office Administrator/Accounts receivable Clerk to assist our administrative operations and help keep our office running smoothly.

Job Summary:

This role combines administrative support with accounting responsibilities, ensuring exceptional customer care, support for our team, and maintaining a productive, positive work environment. This is an excellent opportunity for someone who thrives on efficiency, communication, and problem-solving.

Key Responsibilities

Administrative Support

Daily office operations and administrative tasks

Collaborate with team members to improve office efficiency

Oversee office supply procurement

Maintain organized filing systems, both electronic and paper

Coordinate meetings, appointments, and travel arrangements

Support HR tasks such as onboarding, timekeeping, and maintaining personnel records

Accounts Receivable

Process and issue invoices to customers in a timely manner

Generate monthly statements and reports.

Monitor accounts receivable aging reports and follow up on overdue accounts

Create and monitor accounts receivable in our Customer Relationship Management Software (CRM) as well as Accounting Software.

Assist with month-end closing processes and financial reporting

Customer Relations:

Answer and direct phone calls and emails

Collaborate with the sales and project management team to resolve billing discrepancies

Provide exceptional customer service to clients and vendors

Provide customer service to phone in and walk in customers, utilizing Customer Relationship Management Software (CRM) as necessary

Education/Experience:

Must have a high school diploma or equivalent.

Associate or bachelor's degree in business administration or related field, preferred but not required.

Proven experience in office management or administrative roles

Strong organizational skills

Excellent written and verbal communication skills

High level of discretion and professionalism

Must be proficient in Microsoft Office.

Quickbooks Online knowledge is a plus.
