Job Description
Medium-sized environmental engineering firm seeking a highly detail-oriented and organized individual to join our finance team as an Accounts Payable/ Receivable Assistant and Payroll Specialist.
The successful candidate will be responsible for managing and executing accurate and timely processing of accounts payable/receivable transactions and ensuring the seamless administration of the payroll function.
This role requires a keen understanding of financial processes, strong analytical skills, and working collaboratively within a dynamic team environment.
Must be comfortable working in a fast-paced environment and wearing multiple hats.
Qualifications:
Proven experience in accounts payable and payroll processing.
Knowledge of relevant accounting principles, tax regulations, and payroll laws.
Proficient in using accounting software and payroll systems.
Strong attention to detail and accuracy.
Excellent communication and interpersonal skills.
Ability to prioritize tasks and meet deadlines in a fast-paced environment.
Associate degree in accounting, Finance, or related field.
Basic QuickBooks Enterprise knowledge
Strong preference for small company work experience
"Do what it takes" attitude.
Must be comfortable calling vendors and negotiating.
Proficient in Microsoft Office Suite - especially Word and Excel
Key Responsibilities:
Accounts Payable:
Process and verify invoices, expense reports, and payment requests.
Ensure accurate coding, matching, and approval of invoices.
Reconcile vendor statements and resolve any discrepancies in a timely manner.
Collaborate with internal departments to address inquiries related to accounts payable.
Payroll Administration:
Execute end-to-end payroll processing, including accurate calculation of wages, taxes, and deductions.
Maintain employee records, ensuring accuracy and compliance with relevant regulations.
Respond to employee inquiries regarding payroll matters and resolve issues promptly.
Collaborate with HR to ensure timely and accurate onboarding and offboarding processes.
Compliance and Reporting:
Stay current with relevant tax laws and compliance requirements.
Assist in the preparation of financial reports related to accounts payable and payroll.
Systems and Process Improvement:
Identify opportunities for process improvements in accounts payable and payroll procedures.
Work closely with cross-functional teams to implement system enhancements and automation
· Accounts Receivable Assistance/ Collections:
o Process incoming payments and accurately record transactions within internal billing systems
o Prepare and send invoices to customers while ensuring all billing details are correct.
Follow up on outstanding invoices to ensure timely payments from clients.
Month end closing support
Work closely with the finance team to resolve payment discrepancies and disputes.
o Collaborate with the accounting team to maintain accurate financial records.
Miscellaneous
Maintain electronic filing system.
Assist accounting team with ad hoc tasks as needed, including collections.
General office administrative responsibilities
Share in answering the phone.
Client report preparation and generation as needed.
