This is a full year, full-time, non-exempt position that will serve the DIISD General Fund departments. Wage based on the ESP I union contract with full benefit package available. The deadline for initial consideration is Wednesday, April 30, 2025, at 3:00 p.m.

Job Title: ECE Secretarial/Clerical Employee

Report To: Director of Early Childhood Education

Position Type: Full Time; 200 Days/12 Months

Union & FSLA Status: ESP I Union, Non-Exempt

Compensation: Based on the ESP I Clerical Grid

Qualifications:

Minimum requirements of High School diploma or equivalent.

Two (2) years on the job secretarial/clerical experience preferred.

High degree of proficiency in office procedures and protocols.

Proficient in standard office equipment and word processing/business software applications and efficient use of current office technology.

Excellent organizational skills.

Good quality written and oral communication skills.

Driving may be necessary for this position which would require a valid driver's license.

General Description:

The role of the secretarial/clerical employee is to provide quality services to the department and work effectively with all constituents of the DIISD.

Essential Functions:

Comply with all applicable policies, procedures, rules, regulations and Early Childhood Standards of Conduct.

Act as Secretary to the Director and the Program Supervisor.

Provide receptionist duties and handle essential correspondence, reports, bulletins, memos and other information pertinent to program operation.

Provide assistance and guidance to office staff.

Promote good public relations by neat appearance of self and proper attitude.

Ability to work effectively with staff, parents, children and community persons.

Serve as main contact and consultant for the Child Plus Data System.

Assist the Director, Program Supervisor and various Service Area Coordinators to carry out their functions in a prompt, efficient, and businesslike manner.

Maintain all child and family and personnel information and records in a safe and confidential manner.

Ability to communicate appropriately and effectively both orally and in writing.

Performs duties of receptionist including: answering telephones, expediting questions and requests in a courteous, tactful, prompt and appropriate manner, and greeting visitors.

Performs confidential duties and maintains respect of this confidential information.

Ability to organize and maintain all required records, reports and program documentation.

Exemplary computer skills including, but not limited to, word processing, data entry, use of spreadsheets, electronic documents and various data management systems.

Transcribe from written notes, recording apparatus and word processing data disks as the need arises.

Assist with department grant development and data management and reporting requirements.

Participate in ongoing professional development, both formal and informal, for enhancement of individual abilities, skills and knowledge required for maximum job performance.

Serve as backup to all ECE Department secretarial/clerical employees as directed by administration.

Must have regular and reliable attendance.

Other Duties and Responsibilities:

Serve as a positive role model for DIISD constituents demonstrating how to be a responsible citizen and productive member of society.

Adhere to DIISD Code of Ethics.

Ability to carry out other associated duties as assigned by administration

Additional Working Conditions:

Occasional exposure to blood, bodily fluid and tissue.

With reimbursement, may be required to use personal vehicle to perform job related functions.
