VIRTUAL OPERATIONS COORDINATOR

We are currently looking for a highly organized, proactive, and adaptable virtual Operations Coordinator to support our leadership team. The ideal candidate will have strong communication skills, a keen eye for detail, and the ability to manage various tasks in a fast-paced, remote work environment. CORE RESPONSIBILITIES

Email Management:

Efficiently manage and respond to emails, ensuring timely follow-ups and flagging important messages for immediate action.

Help create, schedule, and manage email campaigns for fundraising and lead generation.

Administrative Support:

Book and manage travel arrangements (flights, accommodations, transportation, meals).

Send and track documents for signatures and follow up on pending documents.

Schedule and organize meetings, calls, and events for the leadership team.

Event Planning & Organization: Assist in planning, organizing, and coordinating events, ensuring every detail is covered from start to finish.

Social Media, Newsletters & Website:

Post on social media platforms to increase brand visibility.

Assist in drafting and sending regular newsletters to our community.

Update website as needed.

Lead Tracking & Communication: Keep track of business leads, managing communication and ensuring follow-up on potential opportunities.

Forward-Thinking Support: Proactively identify potential gaps in processes and support the team by suggesting solutions or taking action to address them.

QUALIFICATIONS & REQUIREMENTS

Proven experience as an executive assistant, administrative assistant, or similar role.

Strong communication skills, both written and verbal, in English.

Exceptional detail orientation and organizational skills with the ability to manage multiple projects simultaneously with precision and professionalism.

Proficient with digital tools, including email platforms, scheduling apps, social media management, AI-generation tools, and document-sharing tools.

A self-starter who can work independently and prioritize tasks effectively.

Creative thinker with a problem-solving mindset, always looking ahead to improve processes.

Experience in content creation (social media, newsletters) is a plus.

POSITION SCHEDULE DETAILS

Full-time remote position

Monday - Friday (40 hours/week)
