Required: Certified Medical Assistant, 1 plus yrs experience ENT/Dermatology Practice

Preferred: Spanish Speaker, experience in facial plastic surgery and ear, nose and throat specialty, Medical Assistant certified

Role and Responsibilities

Medical Assistant Front/Back Office will provide patient care to cosmetic and ENT patients and physician support at front desk, back desk and in clinic. Check in and journey with patient through appointment – ensure all questionnaires/patient portal information complete, verify patient information, may take patient weight, temperature, blood pressure, provide doctor brief background and explanation for patient visit, dictation, instrument support and assistance when necessary, verify patient understanding (next step), check out and schedule next appointment, communicate with front desk any directives necessary, clean/turnover clinic room, follow through with any imaging/diagnostic orders, patient care coordination, records requests. MA may coordinate with and participate in operating room procedures.

Sub specialty/areas of focus: Sleep Surgery (Home Sleep Testing-patient counseling and download, documentation), Research, and Facial Plastic Surgery and non-surgical patients

Skills Required

Attention to detail and organizational skills

Comply with HIPAA, OSHA, other regulations, protect PHI, safeguard medical records, patient confidentiality.

Anticipate physician needs, understand patient needs and document well (questionnaires, procedures to be done in clinic, consents, etc)

Able to work closely with doctor and get along with clinic and administrative team

Customer Service Driven, Professional Presentation/Etiquette

Data Entry, ability to use an electronic health record

Understand medical terminology, ICD-10, CPT codes)

Excellent verbal and written communication

Proficient in basic software (Word, database experience)

Basic understanding of medical billing

Phone, internet, typing skills, portal access ability/Able to work closely with doctor and get along with clinic and administrative team

Understand and verify commercial insurance, Medicare, Tricare – benefit verification and application, eligibility, and authorization

DUTIES:

Answer phones

Greet patients – cheerful, professional

Patient intake-all fields, questionnaires

Patient consents

Manage incoming faxes

Respond to emails

Reminder/Appointment calls

Verify insurance benefits and provide Patient Responsibility to patients

Collect and post payments, produce Daily Payment Report

Track promotions

Scan documents, then shred

Mindful HIPAA- patient confidentiality, shredding documents

Records requests

Patient Flow Management – rooming, check-out

Front to back office communication

Scheduling-phone, referrals in, in person, email

Clinic entry-ensure only escorted patients, escorted vendors enter clinic

Update patient data, scan documents to record

Maintain office harmony, address patient issues, direct to manager when necessary

Document patient encounters as necessary

Assist authorizations (overflow)

Waiting area maintenance - clean and inviting

Track promotions at purchase

Assist HST faxing/back office scanning

Inventory-order, manage, track with proper documentation and efficiency, avoiding loss or waste

Equipment operation-troubleshoot breakdowns, maintain supplies, call for repairs

Instrument Sterilization-daily; Instrument set-up for procedures

OR Room turnover, stocking, cleanliness

Manage orders (DME, imaging, PSG/HST, labs)

Advise patients on Home Sleep Test over-night use, maintain, prep and sterilize device

Mix, prepare neurotoxin, dermal filler

Process transactions

Photos – taking photos, storing photos, identifying photos with “shared” permission

Assist in clinic with numbing, preparing instruments, sterile field

Other duties as assigned by manager(s)
