About the Role:
We are seeking a highly organized, detail-oriented, and adaptable Virtual Assistant to support the Senior Events & Partnerships Manager in a fast-paced and dynamic environment. This role requires someone who thrives on keeping projects on track, managing logistics, and ensuring smooth execution of events and partnerships while handling administrative tasks with precision.

Key Responsibilities:
Event Coordination & Logistics
Assist in planning and executing high-level real estate mastermind events, including scheduling, vendor coordination, and travel arrangements.
Manage event logistics, ensuring deadlines are met and details are accounted for.
Maintain a checklist and timeline for event planning milestones.
Affiliate & Partnership Support
Track and manage communication with sponsors, affiliates, and key partners.
Maintain an organized CRM and database of partnership agreements, invoices, and key contacts.
Assist in coordinating partnership deliverables and following up on outstanding items.
Administrative & Operational Support
Manage email correspondence and scheduling for the Senior Events & Partnerships Manager.
Prepare reports, presentations, and meeting summaries.
Maintain digital filing systems and ensure documents are organized and accessible.
Process & Systems Management
Assist in setting up and optimizing workflows in HubSpot, Google Drive, and Ninety.io.
Help track key performance indicators (KPIs) and prepare performance reports.
Ensure standard operating procedures (SOPs) are documented and followed.
Preferred Skills & Experience:
2+ years of experience in an administrative, operations, or event coordination role.
Experience working in fast-paced, high-growth environments.
Familiarity with HubSpot, Google Suite, project management tools (e.g., Trello, Asana, Monday.com).
Experience in event planning, partnerships, or affiliate management is a plus.
