We are creating a pivotal new role for a highly organized and experienced Front Office Manager – Client Experience & Operations. This key team member will oversee the daily operations of our front office, ensuring a seamless flow for both patients and clients while championing exceptional customer service. This position works in close partnership with our Back-End Manager to streamline communication and coordination between the front desk and medical teams. Veterinary clinic experience and proven front-office leadership are essential.

Responsibilities:

Daily Operations Management:

Manage front office workflow, staff scheduling, and daily open/close procedures.

Maintain accurate records and ensure clinic policies are followed.

Identify and implement process improvements for greater efficiency.

Patient Flow Management:

Oversee appointment coordination and manage patient check-ins and check-outs.

Monitor and minimize bottlenecks, ensuring a smooth visit for each client.

Collaborate with the Back-End Manager for seamless client-patient-staff transitions.

Client Experience Leadership:

Lead with a client-first mindset, ensuring every interaction is professional and welcoming.

Resolve client concerns with professionalism and empathy.

Collect and review client feedback to identify areas of improvement.

Team Leadership and Collaboration:

Supervise and mentor front office staff, building a cohesive and effective team.

Work alongside the Back-End Manager to optimize front-to-back office integration.

Participate in management meetings and contribute to practice growth strategies.

Technology and Software:

Utilize veterinary practice management software to streamline operations.

Experience with PetDesk is a strong plus for improving client engagement.

Recommend and adopt new technology solutions that improve the client experience.

Financial Oversight:

Manage daily transactions, invoicing, and end-of-day reconciliation.

Assist in developing and monitoring front office budgets.

Other Duties:

Maintain front office inventory and supply management.

Support clinic-wide initiatives for efficiency and client service excellence.

Qualifications:

5 years of veterinary front office management experience.

Deep understanding of clinic operations and patient flow.

Strong leadership, communication, and organizational skills.

Experience with PetDesk is highly desirable.

High school diploma required; associate or bachelor’s degree preferred.

Passion for animal care and delivering an exceptional client experience.

Bonus: Knowledge of and enthusiasm for exotic pet care, especially rabbits, is a plus!
