Position Summary The Executive Administrative Assistant serves as an extension of the Executive Leadership Team (L-10) to enable them to be effective leaders by creating the capacity to focus on the most important things.
This position ensures streamlined activities within the organization based on the priorities of the Executive Leadership Team.
The Executive Administrative Assistant is a motivated and adaptable individual who provides proactive organizational, administrative, and personal support to the Executive Leadership Team.
Job duties and responsibilities Executive Team (L-10) Support * Ensures the smooth functioning of the Executive Office on a day-to-day basis to maximize the reach and impact of the Executive Leadership Team (L-10). * Assists VP of Franchise Operations and VP of Columbus Operations in the time management of communications, including written, telephone, email, and voicemail.
* Assist VP of Franchise Operations and VP of Columbus Operations in emails, transmittals, and visitors.
Manages calendar, assists in travel, records expenses, and organizes meetings and appointments.
* Prepares for and follows up on internal and external meetings and follows up with relevant parties.
* Develops, plans, and executes Leadership Team events and activities.
* Produces documents, briefing papers, reports, and relevant slide decks for the Executive Leadership Team and Franchise led activities.
* Manages internal and external special projects as assigned by the Executive Leadership Team.
Operations Administrative Support * Manages Operations Restaurant List and distribution of information to the Company.
* Keeps Franchise listing up to date with store, partner, and DAC alignment.
* Tracks DAC voting including members and term information.
* Assists with Franchise Certificates of Insurance and keeps the file up to date.
Communication & Events * Creates, manages, and communicates key metric business reports.
* Coordinates and schedules logistics of Executive and Franchise activities and meetings including DAC, Franchise Partner Conference, Regional Workshops, Donatos Day, Annual Business Partner Golf Outing, and Operations Incentive Meetings.
* Coordinates and schedules logistics for the Franchise Partner Conference and Regional Business Workshops.
Work Arrangement Options Donatos has identified this position is eligible for the following work arrangements: * Part-Time Onsite: The Associate in the position will work all regularly scheduled days onsite: Tuesday, Wednesday, and Friday 9:00 am-5:00 pm.
Minimum requirements Education * Bachelor's Degree preferred or equivalent working experience.
Physical Requirements * None.
The worker is not substantially exposed to adverse environmental conditions (such as in typical office or administrative work). Previous Experience * 1-3 years of experience of supporting executives in a quick-paced, multi-tasking environment.
* Must have stellar organizational and problem-solving skills, be independent, detail-oriented, and proactive.
* Demonstrated ability to maintain discretion.
* Comfortable with pushing executives for decisions, ensuring time for calendar management, etc.
* Strong communication skills, representing well at all levels, both internally and externally.
* Experience with cross-functional projects involving several departments.
* Knowledge and understanding of corporate community relations.
* Understands the needs of Operations, key reports, and budgets.
* Strong skills in Microsoft Office Suite, and advanced PowerPoint skills for outstanding presentation creation.
