Backoffice Project Manager - Mission Critical Coordinator - (Remote/Hybrid)

The Backoffice Project Manager will play a critical role in supporting data center projects through financial tracking, scheduling, coordination, and documentation management. This is a non-traveling role (with minimal travel up to 10%), making it ideal for candidates seeking stability while contributing to high-impact mission-critical projects. The ideal candidate will have strong organizational skills, financial acumen, and an understanding of engineering terminology. For this role you will manage and lead all of the administrative functions for 15-20 commissioning and testing projects for Data Centers and other Critical Facilities Projects. Candidate will oversee all phases of admin duties re: pricing, tracking changes, validating data is added, project delivery: Scheduling staff, tracking budgets, tracking add-ons, (P & L).
Responsibilities:
Track and manage project budgets, invoices, and change orders to ensure financial accuracy and alignment with project goals
Backoffice Interface on projects; Manage internal client relationships / expectations with effective face to face, phone, and email communication
Oversee scheduling and coordination efforts to support project milestones and deliverables
Manage Scheduling and Coordination of assigned projects
Financial acumen – tracking invoices / change orders
Track progress of projects against goals, objectives, timelines, and budgets
Generate reports, track project costs, financial forecasts as related to project status
Review scripts and documentation for information gathering
Monitor expenses to ensure they fall within the prescribed budget
Work closely with other functional areas of the organization, project contractors, internal / external team members, customers and suppliers
Understand / follow company policies and procedures
Maintain comprehensive records and documentation to support project tracking and reporting
Coordinate with stakeholders to ensure timely execution of project tasks and adherence to compliance standards
Assist in process improvements and workflow optimization within project management operations
Qualifications:
Data Center / Critical Facilities Experience would be helpful
Proven financial acumen with experience tracking budgets, invoices, and change orders
Strong scheduling and coordination experience, ensuring efficient project execution
Highly organized with excellent attention to detail and document management
Proficiency with Microsoft Office Suite (Excel, Outlook, Word, etc.); experience with project management software - Project Office, etc.
Experience with Deltek, Maconomy or Similar ERP SW package a huge plus
Effective Communicator- emails, phone, meetings
Strong organizational, communication, and reporting skills
Ability to create complex reports, forecast modeling
Ability to work independently while effectively coordinating with internal teams and stakeholders
Understand engineering, construction, or commissioning terminology a big plus
Bachelors Degree in Mechanical Engineering / Electrical Engineering / or Architecture a Plus
PMP certification a plus
Project management experience in the Consulting Engineering Industry a plus
Creating RFPs a plus
Previous experience in the Military / Military veterans in all branches that have experience with Electrical / Mechanical is a huge plus (Navy nukes- EMN, ETN, MMNs, Seabees, Army - Power Generation, Air Force – Power Production, Generator Techs, Maritime, Coast Guard, Army National Guard, etc.)
