Job Description
Manage camper enrollment including setting up Camp Minder.
Keep contact with families regarding their enrollment status.
Make sure everyone is aware of the acceptance letter and that they are not fully enrolled until they’ve received their letter (letter to include which weeks they’re enrolled in).
Coordinate with facilities team to ensure inspections are completed when needed in early spring and permits issued before camp.
Manage camper billing and scholarships.
Make attendance records/reports.
Call families when campers don’t show at start of week/day.
Compile camper info books.
Print schedules and bunking assignments.
Make camper wristbands.
Handle communications with families during the season, getting information about and to campers when needed.
Manage orders, rentals and retreats.
Be available to help manage weekend retreats in the shoulder season.
Other duties (as assigned): Handle camper and staff mail and distribute where needed.
Be point of check in at front desk, direct people where needed.
Be outside during check out to begin families on the check-out process.
Communicate in mass to families about check in/check out, updates, emergencies, issues and photos.
Additional Information on Duties:
Must have the ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Expert level written and verbal communication skills, strong decision-making ability and attention to detail are equally important. Intermediate Microsoft Suite Office experience preferred. Must have a valid driver’s license, clean driving record and ability to drive between sites and in community. Collect and upload camper info from staff. Including end of week reports/summaries and behavioral information, in depth if camper had to be dismissed from program. Run reports for day-to-day use, especially:
Ratios
Camper info/intake interviews
Transportation and parent check in lists
Check out info sheet
T-Shirt sizes
Special diet and allergy report
