Provide administrative support by performing the following

Answer all incoming phone calls and assist sales and service personnel with customer calls.

Handle all customer service requests for supply orders and invoice issues.

Record and maintain branch inventory; including equipment, accessories and supplies

Record and maintain all used and lease return equipment for sale, prep and schedule pick up for all lease returns.

Verify all paperwork for delivery of demos and sales.

Assist all branch personnel with administrative duties.

Arrange equipment set-ups for demo and sales.

Order all equipment for the branch via shuttle and assist with the shuttle delivery.

Assist corporate personnel and branch personnel with out of territory installs.

Keep up and maintain appearance of office.

Keep warehouse organized.

Keep demo room clean and organized.

Responsible for shipping & receiving of all inventory in and out of the branch

Assist technicians, if needed with maintaining their inventories

Contact customers for delivery/move requests, and processing service swap paperwork.

Maintain the weekly delivery calendar by monitoring inventory, eta’s of back-ordered items. Schedule set-ups with the technicians based on delivery and install dates. Assuring all personnel required for deliveries are included on the calendar invites to include sales rep, network rep, delivery driver and assigned technician for the set-up.

Assist Sales Reps with proper order procedure and ensure equipment orders are properly placed.

Provide assistance to Manufacturer Reps to ensure all needs are met for Sales Rep training provided at Branch level.

Maintain accurate and up to date files of all delivered equipment .

Assist Branch Sales Manager, Service Manager and Regional Sales Director with any additional requested duties.Requirements:

Must have the ability to communicate orally with vendors, customers and sales representatives. Must have basic mathematical skills. Must be able to set and met deadlines, handle multiple tasks efficiently and complete duties independently. Operate office machinery (copiers, fax and computer.) Strong organizational skills and attention to detail. Working knowledge of Microsoft Applications.
