Lantz & Robins PC is seeking applicants for a legal executive assistant/paralegal to join us for the long term. Hours can be flexible but a regular schedule during business hours is needed for this role. I am looking for someone who can stay with our firm on a long-term basis and be my right hand. The person hired for this position will earn a salary that will be increased over the course of the first year. Assuming the fit proves excellent, the person hired for this job would be earning an above-market income, including health insurance, 401k, and the opportunity to earn bonuses. We are a small firm that is close knit, works together, and we need to add another team member.
The ideal candidate:
· Has a great attitude and will enjoy learning new technology. (I am mostly paperless and the job will require quickly adapting to new technology as it is incorporated in the practice.)
· Has a sense of humor and is okay with some salty language in the office.
· Is smart, curious, and has a sense of ambition.
· Knows how to strike the right balance between “can figure it out myself” and “asks for help when needed for the sake of efficiency.”
· Possesses self-discipline to follow office procedures, including on how to open files, conduct an investigation, interact with opposing counsel, court personnel, and expert witnesses.
· Is comically well-organized and not afraid to pick up the phone and call a stranger.
· Has strong written and verbal communication skills and a friendly, competent phone presence.
· Knows what the terms “UIM”, “medpay”, and “FOIA” mean.
Requirements are listed below:
· Experience in a law firm.
· Proficient using Outlook, Word and basic Excel.
· Must have demonstrated experience learning new software.
· Must be compassionate and have a sense of empathy. Our clients have often endured tragedy and we do our best to help them back on their feet.
· Must be able to follow specific protocols to ensure documents and data are saved accurately.
· Must be able to engage with clients in a personable, friendly way.
Preference for:
· Personal injury experience
· Executive assistant experience managing a calendar and email accounts
Duties:
· Preparation of routine legal documents and forms using Word. This requires the ability to resolve formatting issues in Word documents.
· Scheduling meetings and making sure personal and profesional schedules coordinate
· Issuing requests for government documents such as police reports and body camera footage following specific procedures
· Requesting and organizing medical bills and records
· Setting up basic spreadsheets
· Maintenance of professional registrations and licenses
· File management (filing documents emailed to attorney, keeping files organized with appropriate file names)
· Firm administrative tasks
