Positional Overview
Are you a seasoned Administrative Assistant/Project Administrator with a passion for transformative projects? We are seeking a highly organized and detail-oriented Administrative Assistant/Project Administrator to support a dynamic project team based in Buffalo, NY. This is a contingent position with the potential to convert to a permanent role for the right candidate. The ideal individual will have strong administrative or project accounting experience—construction industry experience is not required. This role offers an excellent growth path, with the next step being a Project Manager position.
Role & Responsibility:
Tasks That Will Lead To Your Success
Provide direct support to Project Executive, Project Managers and Superintendents on active construction projects.
Assist in managing project timelines, documentation, and coordination between internal teams and external stakeholders.
Handle monthly billing, cost tracking, and documentation related to project finances.
Maintain and organize project files including contracts, change orders, and compliance documentation.
Work closely with project leadership to ensure smooth day-to-day operations and timely project delivery.
Monitor deadlines and follow up on outstanding items to keep projects on track.
Skills & Experience:
3+ years of experience in project administration, coordination, project accounting, or administrative roles with financial responsibilities.
Construction industry preferred
Experience with project software, preferably Procore
Background in billing or accounting required
Strong organizational skills with a keen eye for detail and accuracy.
Comfortable working in a fast-paced environment and managing multiple priorities.
Proficient with Microsoft Office Suite (Word, Excel, Outlook).
Experience with construction or field-based project environments a plus but not required.
