Occupancy Specialist / Office AdministratorFull-Time 37.5 hours/week
Position OverviewA confidential housing organization is seeking a detail-oriented and proactive Occupancy Specialist / Office Administrator to support administrative operations across multiple affordable housing programs. This full-time role requires familiarity with public housing regulations and a strong commitment to delivering excellent service to residents and applicants. The successful candidate will manage a combination of housing occupancy, financial tasks, and general office duties in collaboration with a small administrative and maintenance team.
How you will contribute
Occupancy and Housing Waitlist Support
Perform annual and interim recertifications for current residents
Monitor lease compliance and maintain tenant files
Assist with applicant intake, eligibility verification, and lease-ups
Maintain accurate records of tenant status and program compliance Financial Administration
Manage accounts receivable and payable processes
Prepare deposits and maintain rent rolls
Reconcile monthly financials for accounting purposes
Issue security and pet deposit interest payments
Maintain vendor files and process required tax documents
Coordinate retirement contributions and maintain tax-exempt documentation General Office Administration
Communicate regularly with residents and applicants via phone, email, and in person
Maintain organized paper and digital files
Manage office supplies and maintain updated contact lists
Assist with inspections and maintenance work order tracking
Direct incoming calls, visitors, and mail What we need from you
Experience with public housing programs and leasing processes
Familiarity with affordable housing software
Strong planning, prioritization, and organizational skills
Bookkeeping experience, knowledge of general ledger
Bilingual candidates encouraged to apply Minimum Requirements
High school diploma or equivalent
Strong interpersonal and written/verbal communication skills
Proficiency in Microsoft Word, Excel, and Outlook
Experience with menu-driven software systems
Valid Massachusetts Driver's License
Ability to work independently and maintain confidentiality
Openness to job-related training and development
