Summary/Objective

The Residential Administrative Supports Manager will provide centralized oversight across the state for scheduling, program billing hours, staff program compliance, and administrative tasks as needed to support the management for all Residential Programs statewide.

Primary Responsibilities

The Residential Administrative Supports Manager will:

• Act as liaison between the RAS (Residential Administrative Supports) & Billing Teams to help assist with billing issues through the Waiver and Medicaid systems, ensure Prior Authorizations and PAWS are completed and updated, and assist in funding source compliance by ensuring approved funding matches master schedules.

• Ensure prior authorizations and PAWS are completed promptly.

• Help oversee the compliance of individual funding source (20/20) through the county board, including schedule match, training, and monitoring.

• Oversee the Anywhere employee worked time process, ensuring accuracy and completion, and timely reporting to the Payroll Department.

• Develop strategies for the CLS team members to monitor the utilization for the Monthly Rate Calculator system.

• Serve as the centralized contact for all electronic visit verification, Advisor/Anywhere, scheduling systems, Cognito Forms, and DODD online websites.

• Ensure proper training for all management and staff, as related to scheduling, utilization, and cost projection tools.

• Assist with correcting staffing patterns when overutilization of individual’s waiver funds occurs.

• Evaluate scheduling processes to ensure effectiveness and implement changes as needed.

• Assist in overseeing the collection of IO respite waiver funds.

• Oversee the tracking and completion of Residential administrative work related to individuals served, including, but not limited to, Medicaid and Food Assistance redeterminations, applying for initial benefits, receipt and payment of medical bills, and setting up/disconnecting utilities.

• Run various reports out of available systems to share information with leadership and managers.

• Oversee the tracking and scheduling of employee training compliance certifications, including, but not limited to, CPR, First Aid, Medication Administration Levels 1-3, and crisis intervention.

Supervisory Responsibility

This position is responsible for the supervision of individuals within the area of oversight or as assigned.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

Physical Demands

Travel

Travel may occur, but primarily local during the business day, although some out-of-the-area and overnight travel may be expected on occasion.

Required Education and Experience

● Bachelor’s degree or two-years experience working within supported living, intermediate care facility, or respite facility in a management position.

● Experience with Medicaid billing.

● Excellent computer skills – including spreadsheets and word processing tools – and the ability to learn new programs expeditiously.

Preferred Education and Experience

● Five years of management experience.

● Two years or more of experience working in the IDD field.
