We are seeking a detail-oriented and proactive Administrative Assistant to support our team in a fast-paced office environment. Duties
Manage and maintain office files, ensuring all documents are organized and
easily accessible.
Operate phone systems to handle incoming calls, direct inquiries, and
provide information as needed.
Assist in scheduling appointments and coordinating meetings for team
members.
Utilize Google Suite for document creation, data entry, and communication
purposes.
Maintain office supplies inventory and place orders as necessary to ensure
adequate stock levels.
Support the team with clerical tasks such as typing documents, preparing
reports, and filing paperwork.
Provide bilingual support in Spanish when interacting with clients or
handling correspondence.
Collaborate with various departments to facilitate effective communication
and workflow within the organization.
Qualifications
Minimum 5 years experience as a Construction Administrative Assistant
Minimum 3 years experience with NYC public projects - School Construction
Authority (SCA)
Strong organizational skills with the ability to prioritize tasks effectively.
Proficient in using computer systems and software applications, particularly Google Suite.
Excellent verbal and written communication skills; bilingual proficiency in
Spanish is a plus.
Familiarity with phone systems and basic clerical duties is desirable.
Ability to work independently as well as part of a team in a dynamic
environment.
Attention to detail and a commitment to maintaining confidentiality in all
aspects of work.
