Responsibilities for Service Coordinator
JOB SCHEDULING
• Assess the service issues of the customer and arrange for service job.
• Issue jobsheets for scheduled jobs.
• Collate all jobs given by the Service Manager, Sales Manager and Service Supervisor for job scheduling. Once collated refer all jobs with Service Supervisor for job allocation.
• Collate all delivery and testing jobs for the Logistics and Sales Department.
• Liaise with the Service Manager or Service Supervisor for the job scope prior to job allocation.
• Provide the Service Technician with job history (when required).
ADMINISTRATIVE DUTIES
• Issue a Sales Order to prepare parts for a service job. Ensure that all parts are ready before a job is scheduled. A copy of the Sales Order will need to be given to Logistics for preparation and attached to the jobsheet for the Technician (this is to ensure that the technician is aware of the job scope of the scheduled service job)
• Reports problems and unresolved issues to manager.
• Follow up to with customers on quotations for pending Purchase Orders.
• Answer telephones and respond to email inquiries in the office
• Issue invoices and quotations for day to day jobs. All invoices and quotations are required to be done within 1.5 working days. Prioritize according to urgency.
