SCOPE
These work instructions are provided for direction in performing the necessary steps for the operation of Import Traffic Manager.
APPLICATION
These work instructions are for use in the TRANS Overseas facility.
DEFINITION
The Import Traffic Manager position consists of various management, administrative, supervisory and clerical functions, outside activity and the responsibilities are as follows:
RESPONSIBILITIES
Manage the Import Traffic Department to ensure compliance with Company procedures and customer requirements:
Overall knowledge of import system applications and processes
Maintain proper staffing levels.
Supervise and train Import personnel to ensure shipments are processed timely and correctly.
Oversee distribution of incoming documents arid assigning of accounts and workloads.
Provide assistance and training as needed.
Review files and invoices to monitor accuracy.
Maintain department compliance with Company ISO policies and work instructions:
Maintain, update and develop department work instructions as needed.
Maintain training records for all import staff.
Ensure new staff gets ISO orientation training and current staff training happens within ISO guidelines.
Monitor and manage Import Traffic operations for all modes of transport to ensure timely and accurate processing of shipments, maintain client service requirements and compliance with CBP/PGA regulations and CTPAT broker security standards
Advise, quote and develop procedures for new and existing clients:
Set up new clients and develop customer master files.
Secure Customs Power of Attorney for each client and vet for accuracy according to CBP guidelines.
Ensure customer maintenance records are up to date and accurate.
Provide Import personnel access to software, materials, equipment and training needed to provide timely customer service.
Maintain direct customer contact and coordinate with the sales department and other departments to confirm requirements and fees.
