A. Bidding Process:
Get involved during the bidding process and understand the scope of the project
Decide work to be assigned to Designer and Sub-contractors and prepare scope of work for the Designer and Sub-contractors
Prepare requirements for DBE/MBE participants to met by the Designer and Sub-Contractors
Get proposal for the materials for self-performed work as needed in the contract
Prepare RFIs for any concerns/missing items
Determine quantities and price for the contract items
Track addendums if any and understand the impacts of this addendum to our contract.
Prepare technical and cost bid package as per requirements for submission B. Coordination for Design:
Prepare design contract for Designer/Architect with terms and conditions
Collaborate with Engineers, Architects, etc. to determine the details of the project, involve Sub-Contractors for their portion of the work, if needed
Ensure design to be feasible for construction and economical to best interest of the Company by achieving Owner's minimum requirements. If needed visit the site.
If needed, hire another designer for review to determine feasibility of construction nd economical design
Coordinate with sub-contractors for their comments on design for their respective work and coordinate with designer/architect to accommodate/solution
Coordinate with Owner for their design review comments and coordinate with designer/architect to commence the comments
Obtain all necessary permits in advance to start construction in phases as necessary C. Coordination for Construction:
Negotiate contracts with subcontractors and prepare a contract for each subcontractor by using subcontract agreement form
Prepare a contract/purchase order for external vendors as needed in the best interest of the company with terms and conditions including requirement for bonding, insurance including workman comp etc.
Obtain all permits and licenses needed to perform the work from all governing uthorities
Prepare a rough schedule for determining needed resources (Client, equipment nd material) from start to finish with maximum output with budgetary mount/limitations
Plan all construction operations and schedule intermediate phases coordinating with subcontractor to ensure meeting deadlines as per the contract
Prepare a list of materials needed to self-perform work, and submission of required material submittals for the project in a timely manner to avoid any delay of work and time loss.
Ensuring the cost effective materials as per the contract documents are submitted
Shop for most economical material meeting with the specifications as per a contract
Control the equipment and material needed for the project and monitor inventories of material to avoid any delay in work schedule
Supervise the work of team members, laborers, subcontractors etc. and provide them guidance/directions for scheduling and planning of work as applicable.
Keeping track of material and rental equipment invoices and cost before submitting for payment
Submit monthly invoices in timely manner with DBE information, other Reports as required by the client/owner
Keeping track of the project cost (including subcontractor), coordinate with ccounting
Monitor and keep track of delays, evaluate progress and prepare detailed reports
Preparation and tracking of Change Orders and RFIs in timely manner D. Coordination with Subcontractor:
Negotiate contracts with subcontractors and prepare a contract for each subcontractor by using subcontract agreement form
Coordinate with subcontractors during design phase for their work, if needed
Receive all material submittals and schedule for their work and submit to the owner
Request for price schedule for their work, if proposal is lump-sum at the time of bidding
Request all subcontractors to submit their invoices with retainage as per the contract requirement by 25th of month (or date set by the owner), once receiving invoices, review with subcontractors for work performed v/s price schedule, provide pproval and submit it to accounting for payment.
Keep track of subcontractor's invoice and retention and ensure it matches with PCCIs accounting system.
Keep track of subcontractor DBEs on a monthly basis if applicable. E. General Guideline for a Project:
Maintain the project files on company's website ("P" drive) for the specific project (do not save on local drive) avoid losing data in event of disk failure
Conduct regular site visits to monitor progress and quality standards
Ensure adherence to all health and safety standards in collaboration with Safety officer and report issues
Handle any environmental or local community issues that may come up during project
ttend all project related meetings with client and inhouse weekly staff meeting
Prepare final close out documents for the completed project and request for the retainage release
