Job Description
The Digital Innovations and Technology Services department is seeking a part-time staff member to join their team to help administratively keep things running smoothly behind the scenes while also working on exciting projects. Reporting to the Director of Support Services, the Technical Coordinator will assist with budget management, administrative tasks, and technical duties. They will coordinate departmental projects, manage administrative components of the departmental budget, and draft project-related documentation.
Requirements and Key Competencies
Associate’s degree in an accounting or information science field or equivalent experience.
Excellent written and verbal communication skills including the ability to express technical ideas in easy-to-understand language and speak effectively one-on-one and in front of groups.
Strong organizational skills.
Prior experience in managing budgets is preferred.
Ability to work individually and as part of a team.
Ability to effectively prioritize and execute tasks to meet deadlines.
Proficient in Microsoft Office applications.
Experience working with technology and/or digital content.
Responsibilities
Budget Management
Work with the Chief Digital Information Officer to maintain up to date records of departmental financial transactions and generate regular reporting, including projections, to Digital/Technology Directors using tools such as Quicken, Smartsheet, and Excel.
Review and process vendor invoices, PCard Charges, and event technology invoices for payment.
Reconcile departmental budget records with ledgers provided by Finance.
Provide administrative support throughout the annual budget planning process.
Coordinate with vendors to resolve billing discrepancies.
Create and maintain documentation for budget management workflows.
Departmental Administration
Provide administrative support to Digital/Technology Directors, including managing schedules and external correspondence.
Coordinate IT projects, including scheduling meetings and calls with internal and external collaborators and organizing logistics such as room bookings and setup.
Prepare meeting agendas, take meeting minutes and action items, and distribute them to relevant staff.
Manage Digital Innovation and Technology Services departmental meetings, weekly Directors/Managers meetings, and division-led committee/subcommittee meetings, coordinating related follow-up materials such as monthly updates.
Ensure that action items are completed and that project deliverables are submitted according to schedule.
Perform additional administrative tasks as needed.
Rate of pay: $24 per hour
