We are looking for an Executive Assistant to join our team!

This role provides key support to the Executive Director and the Leadership of the organization. The ideal candidate is someone with academic/clinical/research knowledge who is organized, conscientious, meticulous, and driven. They will also provide assistance and organization for a host of individual and organizational activities.
Responsibilities:
Executive Director Support
Act as a liaison between the Executive Director (ED) and internal/ external stakeholders; serve as an extension of the ED in a manner that reflects positively on the organization.
Independently prioritize requests and ensure smooth day-to-day engagements.
Safeguard ED's time and attention, preventing unnecessary interruptions to maximize productivity.
Proactively respond with updates and follow through from start to finish while maintaining a sense of urgency.
Anticipate the needs of the ED and take ownership of the role.
Manage and coordinate ED's clinical, academic, and organizational calendars.
Prepare and manage correspondence, presentations, and other communications on behalf of the ED.
Manage communications regarding ED’s professional relationships including: University relations, sponsor relations, regulatory and government agencies, and communications for University clinical and administrative activities.
Coordinate and assist the ED with professional travel arrangements (including international travel), create detailed itineraries and submit appropriate paperwork for reimbursement.
Monitor and manage all professional credentialing, accreditation, and licensing renewals and appointments.
Manage timelines and submission for abstracts, manuscripts, and presentations.
Provide editorial support for abstracts, manuscripts, and presentations including co-author edits, references, and figures.
Perform general administrative tasks such as document preparation, filing, copying, scanning, and faxing.
If needed, attend key project and leadership meetings in support of the ED including understanding and responding to questions, taking key notes and helping action a response with the ED.
Understand data privacy (e.g. PHI, CPC confidentiality, personal data) and maintain all information in strict confidence.
Perform other duties as required.
Board of Directors Support
Provide expert level support pertaining to the Board of Directors and CPC organization structure, rules and requirements.
Function as the primary lead for communications, meeting organization, logistics, meeting minutes, resolutions, and other support of the Board of Directors.
Perform other duties as required.
CPC Support
Arrange conference calls and meetings, including catering, venue, scheduling, etc. with support of the CPC Meeting Coordinator.
Organize and support the weekly Leadership Committee meetings, organize content creation, document minutes and tasks.
Manage academic and CPC social media and public relations posts.
Work with Business Development to coordinate calls and communications with existing and potential clients.
Work with Operations and Faculty teams to coordinate key leadership meetings including meetings at congresses.
Perform other duties as required.
Qualifications:
High School Diploma or GED accepted; however, an advanced degree (e.g. Bachelor’s, Masters) is preferred
Minimum 3 years of experience supporting a C-suite level executive
Experience in a hospital, academic and/or research setting preferred
Exemplary work ethic, critical thinking skills, sound judgement and ability to maintain professional demeaner in all circumstances
Exceptional interpersonal communication skills
Availability for after-hours inquiries regarding travel, scheduling, and other needs
Excellent organizational, leadership and problem solving skills
Excellent planning and time management skills and attention to detail
Advanced proficiency with EndNote and MS Office Suite (specifically Word, Excel, Outlook, PowerPoint)
Strong writing and editorial skills
Flexibility and adaptability to change
Ability to be present in office 90-100% of the time
Ability to stand, bend and occasionally lift up to 25 lbs.; walk up and down the stairs, walk across the University campus (e.g. to secure or scope out meeting spaces or set up for meetings) or let guests or deliveries in the building
Ability to work as a member of a team

Targeted Compensation: $57,000 – $74,000
