Job Description
We are looking for a detail-oriented and proactive, part-time Executive Assistant to join our team on a Contract to permanent basis. In this role, you will provide essential administrative support to C-suite executives and collaborate with the broader team to ensure seamless operations. Based in Jersey City, New Jersey, this position offers an opportunity to contribute to a dynamic environment within the financial services industry. 16-20 hours for the week. Perm salary goes up to $37k-$50k.
Responsibilities:
• Manage calendars for C-suite executives, ensuring appointments and commitments are well-organized.
• Coordinate travel arrangements, including booking flights, accommodations, and transportation.
• Provide ad hoc support to team members as needed, addressing immediate priorities and requests.
• Organize weekly lunch orders for the U.S. office, ensuring timely and accurate delivery.
• Prepare and set up the boardroom for meetings, ensuring it is equipped and ready for use.
• Facilitate communication by handling correspondence and conference calls efficiently.
• Assist with expense management processes, ensuring timely submission and tracking.
• Maintain a high level of professionalism in all interactions with internal and external stakeholders • Minimum of 2 years’ experience as an Executive Assistant or in a similar role.
• Strong organizational skills with the ability to manage multiple tasks simultaneously.
• Proficiency in calendar management and scheduling.
• Excellent communication skills, both written and verbal.
• Experience in coordinating travel arrangements and logistics.
• Ability to handle confidential information with discretion.
• Familiarity with expense management tools and processes.
• A proactive attitude and the ability to work independently with minimal supervision.
