Description:

The Marketing Assistant is a highly organized, and detail-oriented support role within the Women’s Health Marketing Team. This position focuses on managing internal and external communications, coordinating events and training, maintaining marketing tools and platforms, supporting product launches, and providing administrative backup. The role requires familiarity with systems such as SAP and Salesforce and a proactive approach to supporting cross-functional teams and field representatives.

Duties and Responsibilities:

Coordinate communication between internal teams, vendors, and customers (e.g., POs, check/inventory requests, correspondence).

Maintain and update Gynecology Selling site content for accuracy and relevance.

Generate and analyze sales reports using Salesforce and SAP.

Plan logistics for workshops, conventions (e.g., ASRM, AAGL), and major events, including: Pre-meeting planning, attendee tracking, catering, and compliance.

Manage all aspects of hysteroscopy courses, including: Equipment coordination, physician registration, honoraria, and reimbursements.

Support internal sales training and onboarding: Setup in SAP, IT coordination, training schedules, and learning modules.

Track and maintain marketing sample and promo item inventory.

Assist with product launches: ZMAT entries, documentation, validation, forecasting, and coordination.

Support creation of digital marketing and sales enablement tools.

Provide responses to sales force inquiries and develop basic product knowledge.

Act as administrative backup for absent team members.

Draft and edit professional documents, reports, and presentations.

Maintain departmental organization and support cross-functional training.

Serve as first point of contact for departmental calls and communications.

Collaborate with Expediting and Logistics to track shipments, ETAs, and backorders.

Work with sales and vendors to manage quotes, complaints, and product issues.

Education and Experience Requirements:

Bachelors Degree is required

A minimum of 2 years of experience as an assistant, preferably in a sales or marketing environment

Exceptional organizational skills and the ability to multi-task.

Experience in healthcare, life sciences, or medical device environments is a strong plus

Familiarity with CRM systems (Salesforce preferred) and ERP platforms (such as SAP)

Prior experience coordinating logistics for events, workshops, or training programs

Exposure to sales enablement or product launch support is advantageous
