Non-Dispensing Pharmacy - Columbus, Ohio

Shift details: Full-time employees will work 40 hours per week with multiple shift times available.

Monday-Friday 7:00 am to 10:00 pm (multiple 8-hour shift options)

Saturday-Sunday 8:00 am to 4:00 pm (rotating with team)

About the Automation Operations and Intake Specialist Manager:

The Automation Operations and Intake Specialist Manager is responsible for overseeing the seamless integration and execution of automated systems and intake processes within the organization. This position ensures that operational workflows are optimized, and automation systems are effectively utilized to drive efficiencies in the intake process. The manager will lead a team of specialists, collaborate with cross-functional departments, and be a key contributor to the continuous improvement of processes.

Key Responsibilities:

Automation Management:

Oversee the implementation and optimization of automation systems used in operations and intake processes.

Manage the day-to-day performance of automation tools (e.g., bots, software systems) to ensure efficiency and accuracy.

Troubleshoot automation issues and collaborate with IT/engineering teams to resolve technical problems.

Ensure automation processes comply with industry standards and internal regulations.

Intake Process Oversight:

Manage the intake workflow, including the assessment, processing, and routing of incoming data and requests.

Develop and implement strategies for improving intake efficiency and customer experience.

Collaborate with other departments to streamline the intake process and ensure alignment with organizational goals.

Train other intake specialist on intake and auto-processing procedures.

Create training documents for intake and bot automation processes.

Process Improvement & Optimization:

Regularly assess both manual and automated intake processes to identify areas for improvement.

Drive process redesign and implement automation upgrades that enhance overall business performance.

Collect and analyze data to recommend process changes or automation enhancements.

Cross-Functional Collaboration:

Work closely with departments such as IT, Customer Success, and Operations to ensure alignment of automated solutions with broader organizational goals.

Participate in strategic planning sessions to define and prioritize automation initiatives.

Reporting & Documentation:

Maintain comprehensive documentation of automation procedures, processes, and outcomes.

Prepare and present reports on automation performance, KPIs, and intake process efficiency to senior management.

Qualifications:

High school diploma or equivalent required; additional education or certification in healthcare or pharmacy technology is a plus.

Previous experience in customer support, service, or success roles, preferably within healthcare and/or high-growth startups (minimum 2 years).

Experience in managing or leading a team in a fast-paced environment.

Knowledge of medical terminology, pharmacy operations, and pharmacy management systems.

Strong leadership and interpersonal skills, with the ability to effectively manage, train, and motivate a team.

Exceptional problem-solving abilities, with a focus on continuous process improvement.

Effective communication skills, both verbal and written.

Strong attention to detail and organizational skills.

Certified pharmacy technician license preferred

Working Conditions:

Work is typically performed in hybrid environment.

May require occasional evening or weekend hours based on business needs.
