Position Summary

The Practice Coordinator serves as the face and voice of the office, ensuring patients experience smooth navigation throughout their care journey. Under direct and indirect supervision, this role provides essential clerical and administrative support, such as answering phone calls, scheduling appointments, verifying insurance, handling correspondence, and assisting with financial transactions. This position plays a key role in maintaining organization and efficiency in the practice.

Key Responsibilities

A Day in the Life

Being the first point of contact for patients and ensuring a warm welcome.

Coordinating patient appointments to maximize efficiency and minimize waiting times.

Managing patient records and ensuring accurate data entry.

Handling financial transactions, including billing and insurance verification.

Communicating with patients about treatment plans and financial options.

Supporting the team with administrative and clerical tasks.

Maintaining a professional and organized front office space.

Patient Experience & Administrative Duties

Answer and respond to telephone inquiries professionally and efficiently.

Confirm and schedule patient appointments with accuracy.

Verify and update patient insurance and financial records.

Ensure all necessary patient forms and consents are completed and filed properly.

Maintain confidentiality and adhere to HIPAA compliance standards.

Financial & Insurance Coordination

Assist patients with financial arrangements and explain payment options.

Process insurance claims and follow up on outstanding claims.

Collect copayments and outstanding balances at the time of service.

Monitor accounts receivable and support collections as needed.

Team Collaboration & Office Support

Work closely with clinical and administrative teams to optimize patient flow.

Support practice goals by maintaining a full and productive schedule.

Foster a team-oriented atmosphere that aligns with ProGrin Dental's mission and values.

Qualifications & Requirements

Education: High school diploma or equivalent.

Experience: Preferred one year of dental office experience or customer service.

Skills: Strong communication, organization, and multitasking abilities.

Physical Requirements: Ability to sit for extended periods and use standard office equipment.
