Job Description
Foster Garvey PC, one of the Pacific Northwest's leading law firms, is looking for a Practice Assistant to join our Spokane office. This is a full-time, non-exempt position.
The successful candidate will be expected to work in our Spokane office five (5) days a week from 8:00 am until 5:00 pm, Monday through Friday. The successful candidate will be self-motivated and enjoy teamwork. Additionally, an ideal candidate will have a strong commitment to client service, attention to detail, and strong interpersonal skills are essential, as are the ability to organize, prioritize, and complete numerous tasks under time constraints. Responsibilities include maintaining the electronic and physical client files and providing administrative support to the Legal Practice Assistants and Attorneys.
Job Requirements:
Demonstrate experience in office procedures and related clerical duties, edit and proofread routine law office correspondence and legal case matters.
Differentiate between many types of legal documents and numerous similar cases to file both physical and electronic documents, ensuring complete, accurate, and intuitively organized client records.
Organize and prioritize numerous tasks and complete them under time constraints.
Professional and positive interpersonal skills necessary in order to communicate and follow instructions effectively from a diverse group of clients, attorneys and staff and provide information with ordinary courtesy and tact.
Problem solve, use sound judgment, and work well under pressure. Must be decisive.
Work within deadlines and effectively handle stress.
In conjunction with our Records team, input data, such as file numbers, new or updated information, or document information codes into computer systems to support document and information retrieval.
Keep record(s) of materials filed or removed, using logbooks or computers.
Create new files as requested. Add new materials to file records.
Gather materials to be filed from employees.
Eliminate outdated or unnecessary materials, to include taking ownership of and maintaining offsite storage.
Communicate effectively with Records team members in other Foster Garvey offices.
Provide reception desk relief (for breaks and absences), to include operating a multi-line telephone/switchboard system directing callers to appropriate personnel.
Welcome clients and visitors in a professional, warm, and helpful manner at all times.
Maintain cleanliness of kitchen areas, public spaces, and vacant offices or workspaces after use to include handling the set up and clean-up of food/beverage service for conference rooms and Firm events.
Ensure conference rooms are properly equipped with meeting materials.
Aid in regular refrigerator cleaning, running the dishwasher, and cleaning microwaves.
Maintain supply levels in kitchen.
Provide copying, scanning and document binding, and filing services.
Provide messenger services (as needed).
Maintain fax, copiers, printer toner, and paper levels and respond to basic problems for troubleshooting.
Deliver packages and interoffice mail within the office; respond promptly to requests for urgent assistance with support services tasks.
Complete other duties as assigned.

EDUCATION:
2+ years’ experience in an office setting, legal or professional services firm preferred.
Bachelor’s degree or equivalent is preferred.
Salary Range
The pay range for this position is $46,000-$56,000 annually; however, actual pay may vary depending on the candidate’s education, training, experience, and other job-related factors permitted by law.
