Executive Assistant

Position Summary
Our Executive Assistant uses skills obtained through experience and training to provide general office support including but not limited to answering telephones, assisting visitors, coordinating travel and meetings, event planning, maintaining all office inventory and processing accounts payable. The executive assistant will work to resolve and/or refer problems or inquiries from the CEO, Office Manager, Financial Advisors, and Support Staff. This is an onsite position, and we will only consider candidates that will work 5 days/week in our Reston, VA office.
Knowledge/Requirements
Preferred 4-Year Bachelors Degree and 2-4 years of administrative experience
Prior experience preferred working in a broker-dealer office or finance industry
Microsoft Excel, Word, Outlook and PowerPoint proficiency to produce professional documents
Uphold a polished, professional and welcoming nature with external and internal business contacts
Ability to organize, manage and track multiple detailed tasks and assignments with frequently changing priorities and deadlines in a fast-paced work environment to complete assigned tasks on time
Excellent verbal and written communication skills to communicate ideas and thoughts in a clear, professional manner to managers, team members, and clients
Effective problem-solving skills to resolve routine client questions
Ability to handle a moderate amount of incoming phone calls daily
Ability to work independently and in teams to complete high-priority tasks in a timely manner
Preferred experience with travel and/or event planning
FBI background check and credit check required
Regular and timely attendance is required
Job Duties and Responsibilities
Greets clients and visitors in a friendly, courteous and professional manner
Answers and effectively fields and directs all incoming calls
Prepares and distributes internal communication on behalf of the firm.
Coordinates and schedules client and prospect calls, meetings and maintains Microsoft Outlook office calendars
Works ethically and with integrity, including maintaining client and firm confidentiality
Books and plans time sensitive international and domestic travel arrangements and conferences for the CEO and Advisors
Maintains various organization memberships for the CEO
Schedules and coordinates client and fund company market updates, strategies, and portfolio webinars and events
Maintains and orders office equipment & supplies while overseeing security systems, phone and internet service providers
Handles bills and checks while maintaining accounts payable and business-related expenses
Works closely with the marketing committee to identify key opportunities for innovation while developing marketing strategies
Assists in creating marketing materials such as website content, social media posts, monthly newsletters, and flyers
Helps organize and coordinate marketing events such as conferences and webinars, while assisting with the distribution of marketing materials
Supports team members with various duties and responsibilities as assigned
