Client Intake Coordinator

Job Description

We are looking for a detail-oriented Client Intake Coordinator to join our team on a contract basis in Dallas, Texas. In this role, you will play a key part in managing the intake process for new clients, ensuring accuracy, efficiency, and compliance with all relevant procedures. This position requires strong organizational skills and the ability to work in a fast-paced environment while maintaining confidentiality.

Responsibilities:

• Perform thorough conflict database searches for all parties related to new business intake.

• Review and analyze search results, collaborating with attorneys to address potential conflicts.

• Resolve duplicate entries in conflict searches to ensure data integrity.

• Process matter name changes and create matter numbers for various accounts, including administrative requests.

• Communicate with relevant departments regarding matter closures, transfers, and destruction.

• Close files based on e-billing alert notifications and matters flagged as inactive with zero activity.

• Interact effectively with attorneys, secretaries, and clients, fostering clear communication.

• Maintain strict confidentiality across all aspects of the role.

• Assist with special projects and provide support as needed.

• Adapt to shifting priorities and work demands in a dynamic environment.• Associate degree or equivalent education and experience.

• Minimum of 1-3 years of client intake experience in a legal setting.

• Strong proficiency in Office tools, including Outlook, Excel, and Word.

• Experience with conflict database or accounting software such as Centerbase.

• Excellent multitasking and prioritization skills.

• Ability to organize workflows efficiently and show attention to detail.

• Demonstrated capability to adapt to changes in a fast-paced work environment.

• Self-motivated with the ability to anticipate needs and take initiative.
