WHAT WE’RE LOOKING FOR:
We’re hiring a Client Intake Operations Manager to oversee our lead pipeline and intake process across all practice areas. This role combines operations, supervision, and quality control. You’ll be in charge of managing intake staff, overseeing lead flow in Lead Docket, verifying the quality of submitted intakes, ensuring Filevine is correctly set up when a case is signed, and keeping the team accountable for prompt, thorough follow-up.

RESPONSIBILITIES:
Oversee all incoming leads via Lead Docket, including Meta Ads, web forms, and referrals
Supervise intake staff and virtual assistants to ensure fast, accurate, and complete responses
Review intake forms to verify accuracy, completeness, and case viability
Coordinate with attorneys to ensure promising leads get timely review and response
Ensure Filevine cases are created correctly with full client data and intake documentation
Track lead conversion metrics, follow-up timelines, and intake source performance
Troubleshoot and improve intake systems to increase efficiency and signed client rates
Escalate high-value or time-sensitive leads directly to attorney staff as needed
QUALIFICATIONS:
2+ years in legal intake, client onboarding, or law firm operations preferred
Experience managing people and workflows — you’ll be directing intake staff and VAs
Familiarity with legal CRMs like Lead Docket and Filevine strongly preferred
Exceptional organizational skills and attention to detail
Strong communication skills — both written and verbal
Self-starter who takes initiative and owns results
Bilingual (Spanish/English) is a plus, but not required
COMPENSATION:
Salary Range: $60,000–$85,000 annually, depending on experience
