Tarsco Construction Corporation is seeking a professional, friendly, and highly organized Receptionist to be the welcoming face and voice of our company. This role is key in creating a positive first impression for clients, visitors, and team members alike.
Essential Duties and Responsibilities:
Answers and transfers phone calls, screening when necessary: organizes and prioritizes large volumes of information and calls. Takes messages or fields/answers all routine and non-routine questions from customers, vendors and applicants. Works in cooperation with other assistants to cover phones
Greetings clients, visitors, and guests; determines the purpose of each person's visit and directs or escorts him or her to the appropriate location.
Updates key employee résumés for customer submissions
Schedules and organize complex activities such as meetings, travel (US and Overseas), conferences and department activities for all members of the department. Organizes catering for events and meetings
Maintains office supplies and coordinates maintenance of office equipment.
Prepares expense reports for executives, collects receipts, and submit to Payables for payment.
Receive, sort, and distribute daily mail/deliveries.
Maintains filing systems as assigned
Assists in preparing presentations and proposals for the Business Development Department (i.e. cover page)
Provides administrative support as needed to other departments
Requires Skills/Abilities:
Bilingual in Spanish and English is a plus.
Strong verbal and written communication skills.
Excellent interpersonal and customer service skills.
Excellent organizational skills and attention to detail.
Multitasking and time-management skills, with the ability to prioritize tasks.
Proficient in Microsoft Office Suite or related software (Excel, Word, PowerPoint, Visio, Adobe)
Must be able to able to handle confidential information
Must be able to exercise independent judgment to plan, prioritize and organize diversified workload.
Education and/or Experience:
High school diploma or equivalent required.
Proven work experience as a receptionist, front office representative, or similar role.
Strong knowledge of Microsoft Office Suite Products (Excel, Word, PowerPoint, Visio.)
Physical Demands:
Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 15 lbs. Ability to bend, stand, stoop as necessary.
