Position Overview:
We are seeking a polished, personable, and highly organized Front Desk / Customer Service Representative to be the first point of contact at our MedSpa. This role is key to creating a welcoming and professional experience for our clients, managing front desk operations, and supporting the clinical and management teams with administrative tasks.
Key Responsibilities:
Client Interaction & Experience
Greet clients warmly, check them in and out for appointments
Answer phone calls, emails, and text messages promptly and professionally
Provide detailed information about services, memberships, and promotions
Schedule, confirm, and manage appointments using Zenoti
Handle client concerns or complaints with empathy and escalate as needed
Administrative Support
Maintain accurate client records and ensure consent forms are completed and uploaded
Process payments, issue receipts, and reconcile daily transactions
Assist with daily clinic opening and closing procedures
Manage inventory for front desk supplies and retail products
Sales & Upselling
Promote and upsell treatments, retail products, and memberships
Educate clients on post-treatment care and next steps
Track client referrals, loyalty rewards, and promotional redemptions
Cleanliness & Presentation
Ensure the front desk and waiting area are clean, stocked, and visually appealing
Adhere to sanitation protocols and support staff with cleanliness as needed
Qualifications:
High school diploma or equivalent; college education preferred
Prior experience in a customer service or front desk role (MedSpa, spa, salon, or healthcare setting preferred)
Strong interpersonal and communication skills
Comfortable using scheduling and POS software; experience with Zenoti strongly preferred
Ability to multitask and remain calm in a fast-paced environment
