Billing and Collections
Prepare billing worksheets and process invoices
Work closely with service teams to ensure billing reflects current engagement fees
Monitor outstanding balances and follow-up with clients on past due accounts
Process incoming payments via check, credit card, and ACH
Apply payments appropriately to client accounts
Regularly review AR and make collection efforts in accordance with Collections Policy
Document client correspondence and collection efforts via detailed notes
Monitor client payment plans to ensure they remain current according to agreed-upon terms
Assist clients with AR questions and respond to client inquiries regarding their outstanding balance
General Accounting
Maintain vendor records and manage payments for firm-related expenses
Review vendor contracts and ensure timely payments and renewals
Assist with preparation and filing of firm-level tax documents
Support leadership with cash flow reporting
Other
May assist upper management with various special projects as needed.
Assisting professional staff with administrative servicing and duties as directed.
Assist with organizing firm meetings and events.
Other responsibilities as requested.
Backup Responsibilities
Employees in the Administrative Department support one another by covering duties during lunch breaks, vacations, and unexpected absences. As a result, team members may occasionally be asked to assist with tasks outside their typical responsibilities.
What Skill Are You Looking For?
3+ years of experience in professional services work environment, specifically an accounting firm, law firm, architecture firm, etc.
Associates or Bachelor's degree, preferred
A professional appearance, demeanor, and positive attitude.
Excellent communication skills, both orally and in writing; actively listens and clearly communicates ideas and information.
Strong communication skills and a high level of confidentiality.
Ability to multitask, stay organized, and work independently with minimal supervision.
Experienced in Microsoft Office – required.
Experienced in CCH Axcess, QuickBooks Online, and Bill.com – preferred.
