Position Summary
We are seeking a detail-oriented and service-driven Order Fulfillment Coordinator to support the timely and accurate processing of orders for nurse call systems and healthcare communication technology. This role ensures smooth coordination between domestic and international warehouses, logistics providers, and internal company teams. The coordinator will manage order entry, shipping documentation, software license fulfillment, and CRM updates while providing excellent communication and support to our international offices.
Key Responsibilities:
Order Entry & Fulfillment
• Accurately enter and process customer purchase orders for nurse call systems, hardware, and software components
• Coordinate fulfillment with both domestic and international warehouse teams to ensure on-time delivery
• Finalize and generate customer invoices for shipped orders
• Assist in generating and delivering software licenses as required for customer orders
Shipping & Documentation
• Create and manage international and domestic waybills using DHL, UPS, and FedEx systems, as well as 3rd party logistics companies.
• Track shipments and proactively resolve delivery delays or issues
• Ensure all shipments include accurate customs and compliance documentation for international destinations
Customer Service & International Support
• Serve as the primary point of contact for international offices, sales teams and customer service teams regarding order updates and shipment tracking
• Provide prompt and professional communication to support global company staff and order stakeholders
• Attend regular meetings with international offices to align on fulfillment timelines and priorities
• Offer real-time updates on order status and resolve customer service inquiries related to fulfillment
System & Data Management
• Maintain accurate customer, order, and shipment records in the company’s CRM (e.g., Salesforce, HubSpot, Zoho)
• Collaborate with Finance to ensure correct billing and invoice processing
• Coordinate with internal teams to align software license generation with product fulfillment
Qualifications:
• Associate’s or Bachelor’s degree in Business, Supply Chain, Logistics, or a related field preferred
• 2–4 years of experience in order fulfillment, logistics coordination, or customer service
• Proficiency in creating shipping documents using DHL, UPS, and FedEx systems
• Experience with ERP and CRM systems (e.g., NetSuite, Salesforce, HubSpot, ZoHo, QuickBooks, Misys, SimPro)
• Strong organizational and time management skills with excellent attention to detail
• Effective communicator with the ability to support teams across international time zones
• Comfortable working in a fast-paced, deadline-driven environment
Preferred Skills:
• Familiarity with international shipping requirements and customs documentation
• Experience supporting technology or hardware product fulfillment
• Multilingual ability is a plus
Work Environment:
• May require occasional flexible hours to coordinate with international teams
• Regular interaction with warehouse and logistics partners across regions
